About the role
We are currently seeking a dynamic and experienced Administrative Team Supervisor to join our new Vancouver clinic to lead and oversee our administrative team, ensuring the highest standard of patient care and operational efficiency. This in person role is located in Vancouver and reports directly to the Clinic Manager.

Your Responsibilities:
- Directly supervise and work alongside the reception, billing, and care teams in day-to-day operations
- Champion a patient-centred approach to care and ensure a welcoming atmosphere.
- Oversee team performance, including providing feedback, coaching, and performance management in collaboration with the Clinic Manager
- Oversee patient communications, addressing concerns with empathy and in alignment with clinic standards
- Manage team schedules and step in to cover shifts as needed, ensuring adequate weekend and holiday coverage
- Support recruitment, onboarding, and ongoing training of administrative staff on clinic policies, protocols, and customer service standards
- Identify workflow improvements and ensure adherence to clinic policies, privacy regulations, and data security standards
- Maintain complete and accurate patient records, adhering to documentation standards.
- Provide feedback to senior leadership on operational challenges and contribute to solutions.
- Foster a collaborative work environment across all departments.
You Have:
- Bachelor’s degree in healthcare administration, business, nursing, or a related field (preferred).
- Proven experience in a healthcare or clinic supervisor role.
- Strong leadership skills with a focus on team development and patient experience.
- Excellent organizational and problem-solving abilities.
- Exceptional communication and interpersonal skills.
- Detail oriented with excellent time management skills.
