Role Overview: We are seeking a dynamic and organized Marketing Coordinator & Office Receptionist to join our head office team. This dual-role position involves driving key marketing initiatives while providing exceptional front-desk and administrative support. The ideal candidate possesses strong organizational skills, excellent communication abilities, and proficiency with various office and design software. This role is essential to ensuring smooth daily operations and supporting our marketing efforts to drive brand growth.
Key Responsibilities
- Event Management: Coordinate corporate and franchise events across Canada, acting as the primary point of contact for event managers, guests, vendors, and internal stakeholders.
- Marketing & Design: Support digital marketing initiatives by creating social media content, managing promotional campaigns, and executing basic graphic design work.
- Front Desk Operations: Greet visitors, manage the reception area with high professionalism, and handle a multi-line phone system to direct calls efficiently.
- Administrative Support: Manage scheduling, appointments, and calendar coordination across multiple departments. Perform accurate clerical tasks including photocopying, scanning, mailing, and digital document management.
- Data & Bookkeeping: Handle data entry tasks accurately using Microsoft Office and Google Workspace. Assist with basic bookkeeping activities in QuickBooks, including invoicing, billing, and expense tracking.
- Quality Assurance: Proofread marketing materials, corporate correspondence, and internal documents for absolute accuracy and clarity.
- Customer Service: Provide exceptional support to clients, franchisees, and visitors, addressing inquiries promptly and professionally.
Required Skills & Qualifications
- Software Proficiency: Strong hands-on experience with Adobe Creative Suite, Canva, Microsoft Office (Word, Excel, PowerPoint), and Google Workspace.
- Financial Tools: Experience using QuickBooks or similar bookkeeping software.
- Communication: Exceptional verbal and written communication skills, including professional phone etiquette and customer support experience.
- Organization: Outstanding organizational skills with a keen eye for detail and the ability to multitask in a fast-paced environment.
- Technical Aptitude: Strong computer literacy with a proven ability to learn new software and platforms quickly.
- Administrative Background: Prior clerical or front-desk experience in a fast-paced corporate office setting is highly preferred.
- Accuracy: High-speed data entry capabilities coupled with strong proofreading skills.
Pay: $26.00-$30.00 per hour
