Bilingual Dental Receptionist & Administrative Assistant
We are seeking a calm, organized, and professional Bilingual Dental Receptionist and Administrative Assistant to join our dental clinic.
This is an entry-level opportunity for someone with previous medical, dental, or reception experience who enjoys communicating with patients, staying organized, and following tasks through to completion. Schedule is for 4 or 5 days per week.
Responsibilities
- Answer incoming phone calls and respond to patient inquiries within set expectations and timelines; minimize voicemails and missed calls
- Convert calls into schedules for consultations
- Schedule, confirm, reschedule, and follow up on patient appointments
- Contact dental offices regarding patient referrals and required information
- Track and stay organized electronically ( Excel, Google Sheets etc.)
- Send, receive, and track referrals
- Follow up with patients, dental offices, and other healthcare providers
- Maintain accurate patient information and appointment records
- Support the coordination of patient treatment and denture cases
- Collect and record payments
- Complete bookkeeping such as reconciling VISA and collecting all invoices monthly and other administrative tasks; collect payroll timesheets
- Reconcile Visa and bank transactions monthly; run daily reports
- Organize receipts, invoices, deposits, and payment records
- Assist with general clinic administration and front-desk duties
- Reports to an office manager who is not on site
Qualifications
- Fluency in English and French is required
- Previous dental, medical, healthcare, or reception experience is required
- Excellent verbal and written communication skills
- Calm, patient, and professional when communicating with patients
- Strong organizational skills and attention to detail
- Comfortable making outgoing calls and completing follow-ups
- Basic bookkeeping or financial reconciliation experience
- Comfortable using computers, email, spreadsheets, and scheduling software
- Reliable, responsible, and able to manage multiple priorities
- Able to handle confidential patient and financial information appropriately
Experience with dental practice-management software, insurance claims, bookkeeping software, or referral coordination is considered an asset.
