About Element Dance Arts

The Front Desk & Community Coordinator is often the first and last person our families interact with each day. This role is responsible for creating a welcoming, organized and professional environment while ensuring every dancer and family feels known, supported and connected to the EDA community.
We are seeking someone who is enthusiastic, highly organized and passionate about building relationships. The ideal candidate loves working with children and families, thrives in a fast-paced environment, communicates clearly and professionally, and enjoys being part of a collaborative team.
Schedule Requirements
This position requires consistent evening and weekend availability.
Hours:
- Monday–Thursday: 3:30 PM–9:45 PM
- Saturday: 8:30 AM–3:00 PM
Additional availability during recital weekend, studio events and occasional staff meetings may be required.
Community Experience & Customer Care
- Greet every dancer, parent and visitor warmly and professionally
- Learn dancers' names and build relationships with families to foster a sense of belonging
- Give tours of the facility to prospective families
- Welcome and assist trial students and their families
- Provide exceptional customer service through phone, email and in-person communication
- Address questions, concerns and feedback with empathy and professionalism
- Maintain accurate customer records and ensure all information is kept up to date
- Handle escalated concerns and collaborate with directors to ensure positive resolutions
- Build strong relationships that encourage family retention and loyalty
Enrollment & Retention
- Complete designated steps of the EDA enrollment process
- Register new students and communicate all new enrollments to the Enrollment Coordinator
- Assist in converting trial students into registered dancers
- Brainstorm and implement retention initiatives for current families
- Coordinate birthday acknowledgements and other personalized touches
- Connect with families who may benefit from additional support or attention
- Work alongside the Events Coordinator to plan and execute monthly "Surprise & Delight" experiences
Examples may include:
- Parent appreciation initiatives
- Bring-a-Friend Week
- Seasonal celebrations
- Community engagement activities
Administrative Operations
- Answer phones, voicemails and the general studio email inbox
- Respond to inquiries in a timely and professional manner
- Process registrations and payments using studio management software
- Utilize Google Workspace (Gmail, Docs, Sheets and Drive)
- Communicate and collaborate with staff through Asana
- Update studio voicemail messages regarding closures, events or important announcements
- Maintain front desk supplies and informational materials
- Keep bulletin boards, posters and in-studio communications current and engaging
- Create and coordinate the studio's monthly newsletter alongside the Director of Marketing
Studio Support & Events
- Serve as the primary point of contact for teachers during evening and weekend hours
- Welcome guest and substitute teachers and familiarize them with the facility
- Coordinate class coverage for teacher absences or lateness
- Assist with recital, costume and year-end responsibilities
- Complete daily studio checks, including supplies, lost and found and closing duties
- Troubleshoot music systems and minor technology issues
- Maintain a clean, organized and professional lobby environment
Retail & Merchandise
- Fit and sell dancewear, shoes and studio merchandise
- Process retail transactions using Square
- Monitor inventory levels and communicate restocking needs
Skills & Qualifications
- Exceptional interpersonal and customer service skills
- Strong written and verbal communication abilities
- Highly organized and detail-oriented
- Comfortable multitasking in a busy environment
- Experience using Google Workspace
- Experience with Canva is considered an asset
- Experience with dance studio software is an asset
- Ability to work independently while contributing positively to a team culture
- Passion for creating meaningful experiences for children and families
- Does not shy away from in-person customer interactions
- Comfortable with conflict resolution
