About the Opportunity
We are seeking a highly organized, reliable, dependable, and detail-oriented Medical Office Administrator to join our professional healthcare team. In this pivotal role, you will serve as the operational anchor of our clinic, ensuring the seamless execution of daily administrative workflows.
You will undertake critical administrative tasks to ensure our team members have the support they need to work efficiently. The ideal candidate excels at prioritizing tasks, working with minimal supervision, and bringing a self-motivated, trustworthy approach to patient care and clinic operations.
Schedule: Permanent part-time or full-time role encompassing 4 to 5 shifts per week, plus additional coverage on weekdays and/or weekends as required. Reliable transportation is required.
Key Responsibilities
Office Coordination: Coordinate office activities and operations to ensure maximum efficiency, smooth daily flow, and full compliance with company policies.
Scheduling: Manage appointments and calendars specifically for our Registered Massage Therapists (RMTs).
Communication: Handle incoming and outgoing phone calls and manage all correspondence, including emails and letters, with professionalism.
Records Management: Maintain accurate medical records and databases, including personnel, financial, and other essential clinic data.
Billing & Finance: Process insurance claims, direct billing insurance, and manage point-of-sale transactions.
General Support: Provide comprehensive administrative assistance to support overall clinic productivity and a welcoming patient environment.
Requirements & Qualifications
Experience: Minimum of 1 year of experience working as a medical office administrator in a healthcare setting.
Billing Expertise: Direct billing insurance is a must. (Additional relevant field experience in direct billing is preferred).
Skills & Competencies: Outstanding communication and interpersonal abilities, excellent organizational and leadership skills, and the ability to multitask effectively.
Technical Knowledge: Strong working knowledge of MS Office (with a strong proficiency in Excel) and office management software.
Reliability: Reliable transportation is required to fulfill the scheduling needs of this position.
