Oakstone Millwork & Design is a custom architectural millwork company specializing in high-quality residential and commercial projects throughout Southern Ontario. We pride ourselves on exceptional craftsmanship, attention to detail, and delivering outstanding results for our clients.
As our company continues to grow, we are looking for an organized, detail-oriented Estimating Coordinator to support our estimating department.
This role is ideal for someone who enjoys working with construction drawings, organizing information, solving problems, and supporting the successful delivery of custom millwork projects. You'll work directly alongside our Lead Estimator and ownership team, learning the estimating process while helping prepare projects for bidding.

What You'll Do
As our Estimating Coordinator, you'll be responsible for supporting the estimating process by ensuring all project information is organized, accurate, and ready for pricing.
Your responsibilities will include:
- Organizing architectural drawings and project documentation
- Reviewing project tender packages
- Printing and organizing construction plans and specifications
- Performing material take-offs and quantity calculations
- Obtaining pricing from suppliers and manufacturers
- Preparing Requests for Information (RFIs)
- Entering project information into Mosaic ERP
- Preparing bid documents and estimate packages
- Tracking tender deadlines and submission schedules
- Maintaining estimating files and project documentation
- Assisting with project handoffs once jobs are awarded
- Supporting continuous improvements to estimating procedures
Please Note: This role supports the estimating process. Final project pricing and bid strategy are completed by our senior estimating team.
Qualifications Required
- 1–3 years of experience in construction, millwork, estimating, project coordination, purchasing, or a related field
- Strong organizational and time management skills
- Excellent attention to detail
- Strong mathematical and analytical abilities
- Ability to manage multiple projects and deadlines simultaneously
- Strong communication skills
- Proficiency with Microsoft Office, particularly Excel
Assets:
Experience with any of the following would be considered an asset:
- Mosaic ERP
- AutoCAD
- Bluebeam Revu
- 2020 Design
- Construction estimating
- Architectural millwork
- Cabinet manufacturing
- Reading architectural drawings
- Purchasing or procurement

Pay: $21.00-$29.00 per hour
