About the Position:

A high-volume General Surgery practice in Chatham, Ontario is seeking an experienced, organized and dependable Medical Office Assistant to join our office on a full-time basis. This is an important administrative role within a small specialist practice. The successful candidate will work closely with the physician to coordinate patient appointments, surgical scheduling, medical documentation and the day-to-day operation of the office.

We are looking for someone who is professional, highly organized and comfortable working independently while managing multiple priorities. It is critical that patient confidentiality is always maintained (both in and outside of the clinic) and that all team members conduct themselves in a professional manner.

Previous experience with Accuro EMR is strongly preferred. Experience with Novari and/or working in a specialist or surgical practice is considered a significant asset.

Key Responsibilities:

· Patient Reception & Communication

· Greet patients and provide professional and courteous reception services

· Answer incoming telephone calls, monitor voicemail and accurately relay messages

· Respond to general patient inquiries and provide appropriate office information

· Communicate professionally with patients, referring physicians, hospitals, pharmacies and other healthcare providers

· Receive, review and distribute incoming correspondence, reports and medical documentation

· Maintain accurate patient demographic and contact information

· Handle confidential medical information in accordance with applicable privacy requirements

Appointment & Surgical Scheduling

· Schedule patient consultations, follow-up appointments and office visits

· Coordinate and schedule surgical procedures

· Maintain physician clinic and surgical schedules

· Communicate appointment and procedure information to patients

· Coordinate with hospitals and other healthcare facilities regarding surgical scheduling and patient care

· Use Novari for applicable surgical wait-list, scheduling and administrative workflows

· Monitor outstanding scheduling items and ensure appropriate follow-up

Medical Administration & Documentation

· Create, edit, format, scan and distribute medical and administrative documents

· Prepare letters, forms, requisitions, referrals and other physician correspondence

· Enter and maintain accurate patient information within Accuro EMR

· Perform data entry and maintain office databases and records

· Scan, upload, organize and appropriately file medical documentation

· Assemble, maintain and retrieve patient charts and records

· Maintain electronic and physical filing systems, including archiving and purging records when appropriate

· Compile information, statistics and reports as required

General Office Administration

· Order and maintain office supplies

· Coordinate servicing and maintenance of office equipment when required

· Photocopy, scan, email, fax, collate and securely shred documents

· Maintain office forms, manuals and administrative resources

· Assist with other administrative duties required for the efficient operation of the practice

Qualifications:

· Previous experience as a Medical Office Assistant, Medical Administrative Assistant, Medical Secretary or similar role

· Previous experience working in a physician, specialist or surgical office

· Experience with Accuro EMR is strongly preferred

· Experience with Novari is considered a significant asset

· Experience with appointment scheduling; surgical scheduling experience is a significant asset

· Strong computer, typing and data-entry skills

· Excellent organizational and time-management abilities

· Exceptional attention to detail

· Strong written and verbal communication skills

· Ability to manage multiple priorities in a busy medical office environment

· Ability to work independently, exercise good judgment and take ownership of responsibilities

· Professional and compassionate interpersonal skills

· A strong understanding of patient confidentiality and privacy

Compensation & Benefits:

· $20.00–$25.00 per hour, based on qualifications and relevant experience

· Full-time, 35 hours per week

· Paid vacation

· Paid personal days

Candidates with significant previous experience using Accuro, Novari, surgical scheduling and/or working within a specialist or surgical practice may be considered toward the higher end of the compensation range.
