Job Overview

We are seeking a detail-oriented and organized HVAC Sales Administrator to join our team. This role is essential in supporting sales operations, managing administrative tasks, and ensuring excellent customer service. The ideal candidate will possess strong office skills, proficiency in various software tools, and the ability to handle multiple responsibilities efficiently. This position offers an opportunity to work in a dynamic environment where attention to detail and professionalism are highly valued.

Key Responsibilities:

Book and coordinate customer appointments
Prepare and process customer quotes accurately and efficiently
Manage contract execution and ensure all documentation is complete
Process payments and maintain accurate records
Deliver excellent customer service throughout the sales process
Perform light general office duties as needed
Maintain a high level of attention to detail in all sales administration tasks

Requirements

Proven experience with Office applications such as Microsoft Office (Word, Excel) and Google Workspace
Strong computer skills with the ability to learn new software quickly
Previous clerical or administrative experience preferred, especially in customer service or medical/dental office settings
Familiarity with QuickBooks or bookkeeping software is a plus
Excellent organizational skills with keen attention to detail
Ability to handle multiple tasks efficiently in a fast-paced environment
Strong communication skills with professional phone etiquette and customer service orientation
Experience with data entry, filing systems, and document proofreading
Knowledge of front desk operations and multi-line phone systems preferred
Ability to work independently while supporting team objectives

Pay: $20.00-$22.00 per hour
