Reporting to the CIO, the Administrative Assistant is accountable for managing administrative functions related to operational support of the CIO, the IT Directors, and the IT department. This includes: responsibility for all HR and Payroll transactional administration across IT; fielding inquiries; liaising with internal and external contacts; scheduling, organizing and expediting workflow and meetings; internal/external communications; information tracking/records management; administrative process improvements, and coordinating various logistics and special events/activities. The Administrative Assistant participates on, and assumes responsibility for, new and ongoing initiatives and special projects in the department. As the first point of contact, acting on behalf of the CIO as appropriate and escalating matters when necessary, the incumbent must have an understanding of IT initiatives and activities.
What You’ll Be Doing
- Providing a wide range of confidential administrative support to the IT management team (CIO, Directors and Managers);
- Coordinating all scheduling (calendars, appointments, travel arrangements) for the CIO, Directors and Managers;
- Reviewing and assessing communications (e-mail, mail, faxes and voicemail), notifying the CIO of any material requiring attention/action and resolving any matters on own initiative, as appropriate;
- Coordinating meetings and events, including logistics, agendas, documentation, minutes and communication of action items;
- Responsibility for HR and time and attendance transactional activity and documentation for Payroll submission including, processing of all IT new hires;
- Acting as the primary administrative liaison between IT and HR/Payroll for centralized communication, implementation of HR and Payroll policies and procedures to effectively comply with College policies;
- Facilitating orientation and on-boarding of deparmental new hires, including ensuring network access, phone, voicemail and other technical requirements;
- Managing administrative elements of part-time staffing for the department;
- Researching and responding to internal and external inquiries on a range of issues for the department;
- Resolving problems without escalation where possible. Using good judgement to determine which inquiries should be referred to CIO or elsewhere for action;
- Providing IT administrative process improvements/productivity initiatives, ensuring objectives of special projects are defined, measured and met; Managing special project development from initiative to closure and is accountable for project results; Tracking and reporting on milestones;
- Assembling and organizing relevant data to assist in planning, budgeting, monitoring/reconciling and reporting;
- Performing other initiatives and activities as assigned.

The successful candidate will also meet the following requirements:
- A minimum of a 3-year diploma/degree in Office Administration, Business, IT or a related field;
- A minimum of 2 years of experience in an administrative position, preferably within a post-secondary environment (equivalencies to be considered);
- A high level of proficiency with current office applications and technologies and the ability to quickly learn new software applications is required;
- Training or courses in MS office is preferred;
- Must have experience in the following:
- Collection of time and attendance related data;
- Development of surveys;
- Information management;
- Excellent communication and interpersonal skills;
- Ability to develop collaborative work processes, effective teams and be client service oriented;
- Excellent analytical and conflict resolution skills are a must, along with the ability to exercise sound judgment, flexibility and resourcefulness;
- High level of professionalism, discretion, diplomacy and tact, and be able to multi-task while calmly handling a demanding workload, with changing or conflicting priorities.
