The Role
We are a small, focused team that does high-quality work and runs on well-defined systems.
We are looking for a trusted right hand - someone who can own our books and run the office independently, including when the owner is working offsite. This is a role for a self-starter who takes ownership, anticipates what needs doing, and represents the business well without being directed. If you are the kind of person who keeps everything running smoothly and quietly takes problems off your employers plate, this role is built for you.
This is a structured, professional, Monday-to-Friday position - not a chaotic one. The right person will be given genuine autonomy and trusted to use it.
What You'll Own
Running the Office
- Acting as the dependable point of contact and keeping daily operations running smoothly, including when the owner is offsite.
- Managing the owner's calendar and helping keep the inbox under control.
- Coordinating and scheduling the technical team and client appointments.
- Anticipating needs, solving problems independently, and representing the business professionally.
- Providing trusted administrative support to the owner across all areas of the business, including scheduling and administration for specialized client work.
- Managing company documentation, contracts, records, and office organization.
Full-Cycle Bookkeeping
- Accounts Payable and Accounts Receivable — invoicing, payments, and collections.
- Payroll processing and timely government remittances (CPP, EI, EHT, WSIB).
- Bank and credit-card reconciliations.
- Journal entries, expense tracking, and a weekly financial report for ownership.
- Government filings — GST/HST, payroll taxes, T4s, T4As, and ROEs.
- Year-end procedures in coordination with our external accountant.
- Cash-flow and bank-account monitoring.
Social Media & Marketing Support
- Posting and scheduling content provided by our marketing partner across the company's social media accounts (Facebook, LinkedIn).
- Responding to basic inquiries that come in via social media and email.
What You Bring
Required:
- 3+ years of full-cycle bookkeeping experience.
- Proficiency with QuickBooks Online and strong Microsoft Excel skills.
- Solid understanding of Canadian bookkeeping, payroll, and tax/compliance requirements.
- A demonstrated ability to work independently and own outcomes — not just tasks.
- Discretion and trustworthiness handling confidential financial and client information.
An Asset (not required):
- A diploma or degree in Accounting, Business Administration, or a related field.
- Experience running an office or supporting ownership in a small business.
- Experience managing an executive's calendar and correspondence.
- Comfort using social media scheduling tools.
Compensation & Benefits
- $60,000 – $64,000 per year, salaried, commensurate with experience.
- Bi-weekly pay via direct deposit.
- Two weeks (10 days) paid vacation.
- Five paid personal/sick days per year.
- Paid statutory holidays, plus Easter Monday and the Civic Holiday as additional paid days off
- A paid one-hour lunch.
