Overview:
The Volunteer Services Administrative Assistant supports the day-to-day operations of the Volunteer & Mentorship Department within a mission-driven, non-profit organization. This role ensures efficient processes, accurate administration, and a positive mentor and volunteer experience while upholding the organization's values and commitment to community impact.
We are currently recruiting for 1 part-time role. This is a 6-month contract role requiring 21 hours per week (3 days), to be worked between Monday - Friday. The specific working days will be agreed upon with the successful candidate. This is a new position within the organization.
Responsibilities:
Volunteer/Mentor Recruitment Support
- Providing necessary information for all volunteer/mentor candidates' inquiries as needed
- Scheduling and confirming appointments, interviews and starting dates with volunteers/mentors
- Assisting in conducting interviews for volunteers/mentors
- Complete reference checks for successful candidates
- Prepare volunteer confirmation/mentor acceptance letters for successful candidates
Administrative Support
- Registering volunteers for mandatory training courses (DUNK, Armatus, and BeThere Mental Health training) and follow up to ensure completion
- Monitor volunteer/ mentor mandatory annual trainings and repeat police checks
- Tracking progress of new volunteers/mentors throughout the onboarding/recruitment process
- Following up with candidates on pending documents and training to ensure files are completed for auditing
- Send three-month probation questionnaires and gather feedback for volunteers
- Conduct surveys twice a year to receive feedback and ensure satisfaction
- Assist with organization and facilitation of events for volunteers, holiday events & National Volunteer Week activities
- Send Get Well/Sympathy cards for volunteers as required
- Support social media posting needs
Maintaining & Updating Volunteer/Mentorship Database Support
- Maintain and update the Volunteer and Mentor information in the database
- Maintain and update the information on police check dates
- Record and maintain volunteers' electronic files
- Ensure confidentiality of participants' information
- Additional duties as required
Qualifications:
Education and Experience
- Post-secondary diploma in related field considered an asset
- Minimum two years of experience
- Knowledge of Microsoft Office
- Strong problem-solving skills
- Strong written and oral communication skills
- Excellent interpersonal skills
- Ability to work a flexible schedule as required
