Job Overview
Exceptional verbal communication and presentation skills are essential for this role. The successful candidate must be a confident and engaging communicator with a high level of spoken English. You must be comfortable leading consultations and presentations, explaining detailed information clearly, building rapport with clients and employers, and thinking quickly and responding professionally during live conversations.
The Hospitality Placement Coordinator plays a key role in managing the participant journey across Stepwest’s hospitality work experience programs. Reporting to the Hospitality Placement Manager, this role combines admissions, candidate engagement, consultations, interview preparation, and placement support.
You will work closely with prospective participants and hospitality employers throughout the recruitment and placement process, ensuring candidates are appropriately qualified, well prepared, and supported from their initial inquiry through to placement and arrival.
You will also contribute to improving operational efficiency, increasing candidate conversion, and ensuring a seamless, professional experience for participants at every stage of their journey.
Duties
- Review new lead inquiries and assess eligibility and program suitability
- Provide accurate guidance on program requirements, timelines, assess applicants against pre-established program eligibility criteria, and the admissions process
- Conduct admissions consultations, assess eligibility based on program requirements, complete consultation reports and recommend appropriate next steps
- Build relationships with prospective participants through consistent engagement via email, phone, LinkedIn, and other communication channels to maximize engagement and program conversion
- Support participant registrations by collecting, reviewing, and processing all required documentation
- Organize and deliver interview preparation sessions, ensuring participants are well prepared and confident for employer interviews
- Assist with coordinating interviews between approved participants and host employers, managing scheduling, communication, confirmations, and attendance tracking
- Maintain accurate participant records and track progress throughout the admissions, recruitment, and placement process using CRM and internal systems
- Support with placement confirmations and required employment documentation
- Assist participants with pre-arrival preparation, travel planning, and transitioning into employer-provided accommodation
- Collaborate closely with the Hospitality Placement Manager and Programs Team to improve participant experience, operational efficiency, and recruitment processes
- Deliver a high level of participant support from initial inquiry through successful arrival in Canada, ensuring a positive and professional experience throughout the journey
- Support in other duties as required
Qualifications
- Minimum of 2 years of experience in recruitment or admissions role within the hospitality industry or a related field
- Proven experience conducting candidate screenings, recruitment interviews, consultations, or other client-facing interactions
- Exceptional verbal and written communication skills with the ability to build trust and establish strong relationships with participants from diverse cultural backgrounds
- Strong organizational and time-management skills, with the ability to manage multiple participants, competing priorities, and deadlines in a fast-paced environment
- Excellent attention to detail and the ability to accurately manage documentation, participant records, and administrative processes
- Strong problem-solving skills with the ability to work independently, take initiative, and manage competing priorities with minimal supervision
- Experience using CRM platforms such as HubSpot or similar customer relationship management systems
- High level of professionalism, adaptability, accountability, and a participant-first mindset
- A genuine passion for hospitality, international experiences, and helping people achieve their career goal

Success in this role will be measured by the ability to:
- Increase consultation-to-registration conversion by maintaining timely and consistent follow-up with prospective participants
- Build strong relationships with participants while providing accurate guidance throughout the admissions and placement process
- Maintain an organized recruitment pipeline and ensure participants move efficiently through each stage of the process
- Support the Hospitality Placement Manager with timely interview coordination, placement administration, and employer communication
- Deliver an outstanding participant experience from initial inquiry through arrival in Canada
