The Inventory and Payables Administrator will be responsible for administering the accounting of full-cycle Inventory and associated Payables and month-end close activities. The general hours of work will be 7am to 3pm, Monday to Friday and 7am – 12pm on Saturday in the Halton Hills Head Office.
Job Duties
- Administer full day-to-day accounting Inventory cycle and associated Payable tasks and corresponding monthly, quarterly, and year-end close, which include but not limited to:
- Record inventory receiving, transfers and adjustment in system in complete, accurate, and timely manner
- Ensure necessary approvals and supporting documents are in place to support the transaction
- Administer and organize physical and/or electronic document storage/retention
- Assist with inventory discrepancies or issues investigation in a timely manner
- Assist with responding to inventory queries from Buyers, Operations, and/or Vendors
- Assist with Inventory related data reconciliation between systems in timely manner
- Assist with Inventory and related reconciliation for month-end
- Assist in preparing accounting Inventory and supplementary reports
- Assist with financial audits and other compliance audits, as required
- Work collaboratively with Operations and Team Lead – Inventory and Payables to ensure inventory records are complete and accurate
- Work collaboratively with Team Leads to adhere to payment runs
- Work collaboratively with Team Leads, Intermediate Accountant, and Accounting Manager with analysis
- Special Projects: assist with finance transformation, internal controls, and continuous improvement initiatives
Qualifications
- Accounting diploma from an accredited college / university preferred
- Prior experience in Accounting office setting with working knowledge of Inventory and Accounts Payable
- Strong verbal and written communication skills
- Highly organized, detail-oriented, and comfortable working in a fast-paced, evolving environment
- Intermediate MS Office proficiency
- Produce industry experience an asset
- Experience with PICS software and NetSuite a plus but not required
- Past involvement with system migration a plus
