Pay Range: $42,000 – $52,000/year (depending on experience and skill level)
Work Hours: Monday to Friday, 7:30 AM – 4:00 PM. Occasional overtime may be required.

Primary Job Function
The Junior Project Coordinator supports the Project Coordinator in executing plumbing and HVAC installations. This entry-level role focuses on scheduling, document management, job setup, purchasing assistance, and follow-up tasks. It’s an excellent opportunity for someone with strong administrative skills who is eager to learn project coordination in the trades sector. The Junior Coordinator will use ServiceTitan and internal systems to support data accuracy, job tracking, and customer communication.
Key Responsibilities
- Assist in scheduling and updating residential and commercial installation jobs
- Organize project folders and upload supporting documentation into ServiceTitan
- Prepare permit applications, warranty registrations, and rebate forms
- Track material orders and follow up on deliveries or discrepancies
- Support invoice preparation by collecting field documentation and updating material logs
- Help monitor job progress and report issues to the Project Coordinator
- Input and maintain customer equipment records and warranty data
- Follow up with customers regarding job scheduling, inspections, and feedback
- Assist in coordinating with the service team and vendors on parts availability
- Maintain clean job status and project reporting systems
Required Qualifications & Attributes
- 1+ years of administrative experience, preferably in construction, HVAC, or a service-based industry
- Strong organizational and time management skills
- Comfortable using digital systems and learning new software (ServiceTitan, Office 365, etc.)
- Familiarity with basic project workflows (scheduling, job costing, materials tracking) is an asset
- Excellent verbal and written communication
- Detail-oriented and proactive in completing follow-up tasks
- Team player who enjoys supporting others and learning from them
- High school diploma or equivalent; post-secondary education in business or trades administration is an asset

- Response time on project follow-up tasks and permit submissions
- Task completion rate and ability to meet internal deadlines
- Error rate on warranty, rebate, and permit documents
