Duties and Responsibilities
- Answer and direct telephone calls and take messages;
- Respond to emails and general inquiries from clients, and other professionals;
- Greet clients and visitors and direct them to the appropriate staff member;
- Schedule and confirm appointments, meetings, and signing appointments;
- Open new files and maintain manual and electronic filing systems;
- Maintain and update client information and digital databases;
- Prepare, format, proofread, and distribute correspondence, forms, and other documents;
- Perform data entry and general administrative duties;
- Assist with the preparation of routine legal documents and closing documentation under the supervision of lawyers and paralegals;
- Conduct basic searches, including title searches, tax searches, and corporate profile searches;
- Monitor incoming and outgoing mail, courier packages, and electronic communications;
- Assist with file management, document organization, scanning, and record retention;
- Provide courteous and professional customer service to clients and members of the public;
- Perform other clerical and administrative duties as required.
