The Alzheimer Society of Niagara Region’s mission is to advocate for and with people with dementia and their care partners and provide access to a diverse range of appropriate resources and supports. Particularly, to alleviate the personal and social consequences of Alzheimer's disease and other dementias and to promote research.
Our vision is to create a community where individuals with dementia and their care partners are fully supported to maximize their quality of life and well- being. Ultimately, a world without Alzheimer's disease and other dementias.

The Alzheimer Society of Niagara Region (ASNR) is a community support service organization that provides programs and services to people living with dementia and their care partners in the Niagara Region. We work closely with other service providers to ensure quality care and support for our clients.
We employ administrative and fund development staff, educators, social workers, nurses, therapeutic rec staff, personal support workers and volunteers who work together as a team to meet the needs of people living with dementia and their care partners.

The Coordinator of Volunteer Programs will manage all elements of volunteerism, including but not limited to recruitment, screening, orientation, training, ongoing supervision and evaluation of volunteers within the organization. In addition, the Coordinator is responsible for the overall administration of Visiting and Social Safety Programs, including Meaningful Visits, Tele-recreation and Recollections, and the matching of clients with volunteers to ensure that the needs of clients are met. The Coordinator of volunteers will also recruit and organize volunteers for other ASNR programs, office administration, Fundraising and OLG Bingo sessions and become BINGO trained as backup to support OLG halls when required. The Coordinator is the first point of contact for all organizational volunteers and will act as a liaison with all departments to assess the organization’s volunteer needs for recruitment and retention of volunteers.
Position Description
Title: Coordinator of Volunteer Programs- 18 Month Maternity Contract (Existing Position)
Reporting To: Director of Education, Community Engagement and Quality
Hours: Hours: 40 hours per week (less .5 hour unpaid lunch break); Monday to Friday – 8:30 am – 4:30 pm. Some evenings or weekends may be required for special events. Time worked outside of regular working hours will be granted as time in lieu.
Salary Range: $45,000 - $48,000
Pension: Healthcare of Ontario Pension Plan
Vacation: 3 Weeks paid vacation (Pro-rated to calendar year)
Duties and Responsibilities
1. Program Development & Departmental Oversight
- Maintain an up-to-date Volunteer Program Manual that includes
-Role descriptions
-Policies and procedures
-Risk management and quality assurance processes
-Alignment with current legislation, accreditation standards, and organizational best practices
- Monitor and evaluate volunteer programs to ensure continuous improvement and alignment with Best Practices and accreditation standards
- Coordinate volunteer program evaluation processes annually to assess program impact, volunteer satisfaction, and organizational needs
- Contribute to organizational policies, planning, and compliance activities related to volunteerism
- Liaise with leadership to ensure volunteer roles evolve in alignment with the organization’s strategic direction
- Monitor and maintain appropriate volunteer levels across all programs requiring volunteer support, including but not limited to:
-Brain Wave Café
-Minds in Motion
-Power of Music
-Aging and Dementia Simulation (ADS)
- Office Administration and Special Projects
- Collaborate with relevant program staff to anticipate volunteer needs and address recruitment or retention gaps proactively
- Support the supervision and orientation of student placements, ensuring students are integrated as part of the broader volunteer team and receive appropriate mentorship and guidance
2. Volunteer Recruitment, Screening & Onboarding
- Develop and implement recruitment strategies to attract a diverse volunteer base through:
-Volunteer fairs
- Community networks
-Schools, colleges, and universities
- Creative campaigns and outreach initiatives
- Promote volunteer opportunities internally and externally through publicity campaigns and collaboration with the Communications Coordinator
- Build and maintain partnerships with external organizations (e.g., Brock University, Niagara College, Niagara University etc..) for joint recruitment or placements
- Conduct thorough volunteer screening and onboarding processes, including:
- Interviews and reference checks
- Police and Vulnerable Sector screenings
- Orientation sessions tailored to program needs and organizational expectations
- Ensure all new volunteers receive appropriate role descriptions, policies, and confidentiality guidelines during onboarding
- Act as the backup support for the Aging and Dementia Simulation (ADS) education program, assisting with volunteer involvement and event delivery as needed
3. Oversight of Visiting and Social Safety Programs
(Programs include: Meaningful Visit Program – face-to-face visits, Telecare – phone-based social support, and Recollections – life story projects, First Link Follow-Up Wellness Calls and Online Volunteer-run social recreation programs )
- Provide full oversight for all Visiting and Social Safety Programs, including volunteer training, coordination, documentation, and quality assurance
- Liaise with Family Support staff to match Meaningful Visit and Telecare volunteers with appropriate clients, and maintain regular check-ins on progress and support needs
- Deliver comprehensive training and ongoing guidance for all volunteers participating in these programs, in collaboration with Education staff
- Oversee the First Link Follow-Up Wellness Call Program, including:
- Recruiting and supporting volunteers who conduct wellness calls
-Coordinating training specific to wellness check-ins and client engagement
-Liaising with the First Link Coordinator to communicate concerns, share updates, and ensure volunteer support is responsive to client needs
- Manage the Recollections Program by
- Receiving and reviewing referrals
- Matching clients with suitable volunteers
- Coordinating schedules and providing logistical support
- Collecting photos and content
- Provide support for volunteers facilitating Online Social Recreation Programs, including Shared Reflections and Tele-recreation, by:
-Recruiting and orienting volunteers to virtual program deliver
- Liaising with the Early Stage Program Coordinator to ensure content is appropriate and to address any concerns or logistical needs
- Offering technical and program support to volunteers as needed
- Ensure all volunteers in these programs receive proper identification and are oriented to policies related to confidentiality, client safety, and communication protocols
4. Volunteer Engagement & Communication
- Provide ongoing support and guidance to all volunteers, ensuring they feel valued, informed, and connected to the organization
- Maintain regular communication and monitoring processes for Visiting and Social Safety volunteers through face-to-face check-ins, phone calls, and email follow-ups
- Promote staff understanding and appreciation of volunteer roles by:
- Providing regular updates at staff meetings
- Encouraging interdepartmental collaboration with volunteers
- Creating opportunities for shared success stories
- Implement a robust volunteer recognition strategy that includes:
- Annual volunteer appreciation events
- Personalized thank-you notes and milestone acknowledgments (e.g., hours contributed, years of service)
-Monthly “Volunteer Spotlights” shared internally or publicly
-Nomination of outstanding volunteers for community or organizational awards
-Distribution of small tokens of appreciation (e.g., certificates, pins, cards) throughout the year
-Ongoing verbal and written recognition from staff and leadership
- Support the planning and execution of the yearly Volunteer and Donor Recognition Event, including volunteer invitations, event logistics, and day-of support
- Foster a culture of gratitude and inclusion where volunteers feel seen, celebrated, and motivated to continue their involvement
5. Event, Fundraising & OLG Bingo Volunteer Coordination
- Recruit, organize, and orient volunteers for fundraising events, including but not limited to the IG Wealth Management Walk for Alzheimer’s and third-party events
- Recruit and organize volunteers for OLG Bingo sessions in Niagara Falls and St. Catharines, ensuring appropriate coverage and training
- Attend OLG Bingo events as a trained backup to support OLG hall operations when required
- Maintain up-to-date volunteer rosters and ensure compliance with all OLG Bingo volunteer requirements and reporting protocols
6. Administration & Reporting
- Maintain accurate and up-to-date volunteer and client records in the database
- Generate reports and statistics in alignment with Ontario Health and M-SAA reporting requirements
- Be accountable to the department’s Multi-Sector Service Accountability Agreement (M-SAA) target numbers, supporting the accurate collection, monitoring, and maintenance of related data
- Track hours, participation, and program outputs for internal and external reporting
- Manage administrative tasks including volunteer expense reimbursement, scheduling, and document control
- Attend internal and external meetings and committees, contributing insights related to volunteer program outcomes and operations
- Member of the Occupational Health and Safety Committee
Qualifications
- Relevant Post-Secondary Education - Volunteer Management Certificate an asset
- Experience as a volunteer administrator or equivalent experience
- Public Speaking experience
- Excellent verbal and written communication skills
- Police Vulnerable Sector Check
- Must have a valid driver’s licence and access to a vehicle
- Proof of Covid-19 vaccination, subject to any accommodation obligations under human rights legislation
Skills and Knowledge
- Ability to multi-task and produce results with minimal supervision
- Must be able to use discretion and tact when dealing with sensitive issues
- Experience with program planning and scheduling
- Knowledge of the volunteer community and volunteer resources
- Knowledge of computer programs and databases
- Knowledge of statistical reporting
- An understanding of dementia is an asset
- Excellent organizational and time management skills
- Able to effectively and efficiently plan, organize and manage workload and projects, set priorities, meet deadlines, and work under pressure
- Be able to work in a team environment
- As ASNR clients include the most vulnerable persons, it is strongly recommended that all staff be immunized to help prevent the transmission of infections.
Working Environment
- Everyday risks or discomforts may require safety precautions typical of an office environment, i.e. use of safe work practices with office equipment, proper ergonomics, etc.
- Physical demands are representative of the role where there may be extended periods of visual concentration; extended periods of sitting in a stationary position, and standing.
- Equipment is utilized which is common to the office work environment (i.e., computer, printer, photocopier, multi-line telephone, fax machine, elevator etc.)
- Required to carry out work activities outside the office environment and will require the use of a vehicle.
- Required to work in other venues as required.
- Expected to work outside of regular business hours, often being required to work evenings and weekends.
