Heffner Motors Limited is seeking a highly organized, customer-focused Automotive Service Appointment Coordinator to join our Toyota & Lexus Service Departments. This position is the first point of contact for customers scheduling service appointments and plays a key role in delivering an exceptional customer experience while maximizing shop efficiency and technician productivity.

Key Responsibilities
· Schedule customer service, maintenance, and repair appointments by phone, email, text, and online booking platforms.
· Manage daily appointment flow to maximize shop capacity and efficiency.
· Confirm upcoming appointments and follow up with customers as required.
· Coordinate appointment availability with Service Advisors and the Service Manager.
· Review customer concerns and gather relevant information before appointments.
· Update customer records and maintain accurate information in dealership systems.
· Assist with outbound service reminder campaigns and customer retention initiatives.
· Monitor appointment no-shows and rescheduling opportunities.
· Support service marketing campaigns and seasonal tire change programs.
· Provide professional and friendly customer service at all times.
· Assist the Service Department with administrative tasks as required.
Qualifications
· Previous customer service, appointment coordination, call center, receptionist, or dealership experience is considered an asset.
· Excellent communication and interpersonal skills.
· Strong organizational skills with the ability to multitask.
· Comfortable handling a high volume of phone calls and customer inquiries.
· Strong attention to detail and data entry accuracy.
· Proficiency with computers and Microsoft Office applications.
· Experience with dealership management systems is considered an asset.
· Positive attitude and commitment to delivering outstanding customer service.
