Office Administrator – Sterling Industries
Sterling Industries is a leading Alberta-based pump service and rotating equipment company. From our 23,000 sq. ft. facility in Blackfalds, we provide repair, installation, and maintenance services for municipalities, oilfield operations, and industrial clients across central Alberta. With crane capacity up to 30,000 lbs, a fleet of fully loaded service trucks, and a team of heavy-duty mechanics, millwrights, and electricians, we keep industries alive by ensuring reliability in critical fluid-handling systems.

As an Office Administrator, you will play a key role in supporting both our operations and our field teams by ensuring the smooth running of the office, handling day-to-day administration, safety documentation and providing support to accounting .
Key Responsibilities
AR/AP support
- Prepare and process Accounts Receivable (AR) invoices for service and rebuild jobs
- Send invoices to clients
- Post Accounts Payable (AP) invoices from suppliers and subcontractors
- Support the Controller with other accounting tasks as required
- Maintain accurate data entry for financial and operational records
Job File & Safety Management
- Assist in maintaining COR-compliant safety files for ongoing projects
- Organize project files (digital and physical) for accessibility by managers and field staff
- Ensure electronic filing systems (SharePoint/OneDrive) are updated and accurate
- Track job progress and billing status to support operations and service coordinators
Office Administration & Support
- Answer and direct company phone calls, providing professional and courteous communication
- Support employee onboarding (equipment setup, system accounts, training forms)
- Manage records and documentation related to jobs, equipment, and billing
- Complete scanning, photocopying, and data entry tasks as required
- Respond to emails promptly, providing excellent service to clients, suppliers, and employees
- Support managers and supervisors with scheduling, reporting, and other administrative needs
Qualifications
- Previous experience in office administration or safety support
- Basic understanding of accounting principles (AR/AP, invoicing, job costing)
- Strong computer skills (Microsoft Office, particularly Excel and Outlook; SharePoint/OneDrive an asset)
- Excellent organizational skills with strong attention to detail
- Ability to manage multiple tasks in a fast-paced, service-oriented environment
- Strong verbal and written communication skills
- Willingness to learn and adapt within a growing company
- Team-oriented mindset with the ability to work independently when required

Job Type: Full-time
Pay: $20.00-$28.00 per hour
