Position: Documentation Coordinator
Key Responsibilities:
- Lead and manage all aspects of shipping documentation, including bills of lading, certificates of origin, commercial invoices, and customs documentation.
- Oversee the preparation, review, and timely submission of required paperwork to customers, carriers, agents, and regulatory bodies.
- Monitor documentation workflows to ensure compliance with international trade regulations, customs requirements, and client-specific needs.
- Coordinate closely with internal teams (operations, sales, and customer service) and external stakeholders to streamline documentation processes.
- Supervise and mentor documentation staff, ensuring high levels of accuracy, efficiency, and professional development.
- Maintain up-to-date knowledge of global freight regulations, compliance standards, and documentation best practices.
- Develop and implement standard operating procedures (SOPs) to enhance documentation efficiency and reduce errors.
- Investigate and resolve documentation discrepancies or issues that may impact the shipping process.
- Generate regular reports and analysis on documentation performance and compliance metrics.
Qualifications:
- Minimum 2–3 years of experience in freight forwarding, logistics, or a related field, with at least 1 year in a supervisory or managerial role.
- Strong knowledge of shipping documentation requirements, customs regulations, and international trade compliance.
- Excellent organizational skills and a sharp attention to detail.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to lead a team and manage multiple priorities in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and logistics/documentation software.
- A proactive, solution-oriented mindset with a commitment to continuous improvement.
