Parts Person / Specialist
Company:
Welcome to B&T MacFarlane, a premier dealership of the Kubota brand, family-owned and operated since 1957. We are passionate about the customers we serve and support — from contractors to small business owners, estate owners, and hobby farmers in Ottawa and the surrounding market area. We are a team of 45+ who deliver on quality, efficiency, and teamwork, and we take pride in always going above and beyond the call of duty for our customers.
Position Overview:
We are looking for a Parts Specialist who thrives in a fast-paced, customer-focused environment and values common sense, problem-solving, and teamwork. Our parts department is busy — you’ll be supporting walk-in customers, handling phone inquiries, and responding to many unknowns throughout the day.
This role requires a strong mechanical understanding of diesel equipment, particularly the Kubota line, and the ability to identify and source the right parts for each situation quickly. The learning curve is steep — it typically takes at least one year to master this position — but for the right person, it’s a rewarding and respected role on our team.
Essential Physical Requirements:
- Ability to lift 50 pounds regularly.
- Ability to occasionally stoop, kneel, or crouch.
- Ability to use step stools and ladders to reach high-shelving items.
- Ability to move safely over uneven terrain or in confined spaces.
- Ability to see and respond to dangerous situations.
- Ability to wear personal protective gear correctly.
Responsibilities:
- Greet customers in a friendly and timely manner and provide attentive service.
- Sell outdoor power equipment parts to walk-in and phone customers.
- Fill parts requests for service technicians accurately and efficiently.
- Look up and identify required parts using catalogues, manuals, or computer systems.
- Participate in rolling inventory checks.
- Follow all company and vendor policies and procedures.
Daily Duties:
- Start each workday with a positive, team-oriented attitude.
- Determine make, model, and year of equipment to identify correct parts.
- Read the catalogue or the computer for the part stock number and price.
- Fill customer and technician orders from stock or place orders as required.
- Prepare sales slips or sales contracts and handle payment transactions.
- Complete End of Day reports and procedures.
- Advise customers on part substitutions or modifications when replacements are unavailable.
- Examine and process returned parts.
- Notify Parts Manager when stock levels are low.
- Store and label parts according to prearranged systems.
- Track and manage aging inventory.
- Keep the parts area clean, tidy, and organized.
- Meet with Parts and Service Managers to review goals and improvement opportunities.
Qualifications:
- Minimum of 2 years working in a similar position within the heavy equipment or agriculture industry (an asset).
- Strong understanding of diesel equipment and how it operates, particularly Kubota machines (asset).
- Ability to work under pressure and multitask in a busy environment with constant interruptions.
- Comfortable working within existing systems and processes, including older business systems.
- Proficient with Infinity business system and comfortable using the Microsoft suite of products (asset)
- Bilingualism (asset).
Compensation:
Compensation is based on knowledge, skills, education, and experience.
After a three-month probationary period, employees are eligible for a comprehensive benefits plan that includes life insurance.
All necessary PPE is provided (excluding steel-toe footwear).
Hours: Monday to Friday, 7:30 a.m. – 5:00 p.m.
Location: 45 Slack Road, Ottawa (onsite parking available).
