Exam Operations Coordinator

Reporting to the Team Leader, Exam Operations & Administration, the Exam Operations Coordinator plays a key role in supporting the delivery of MCC’s assessments from preparation through to post-exam activities. In this role, you’ll help ensure exams are delivered in a consistent, secure, and efficient way across both computer-based and performance-based formats.
Working closely with internal teams and external partners, you’ll help coordinate exam activities, support smooth operations, and contribute to maintaining the quality and integrity of MCC’s assessments. Your work directly supports candidates throughout their journey to medical licensure in Canada.
What you’ll do

Coordinate activities before, during, and after exams to support smooth delivery across computer-based, performance-based, and preparatory programs.

Help ensure systems and processes are fully set up, tested, and ready ahead of each exam or product launch.

Support exam registration, scheduling, and capacity planning to help maximize access and efficiency.

Prepare and review exam materials to ensure vendors and exam sites have what they need to deliver successfully.

Assist with onboarding physician examiners and standardized patients to support exam readiness.

Support learning and training activities through the learning management system, including tracking participation and resolving user issues.

Keep teams and partners aligned through clear communication on schedules, updates, and operational priorities.

Coordinate updates to MCC communications channels, including website content, to reflect changes to exams or processes.

Review and validate exam data, reports, and materials to ensure accuracy and completeness.

Identify and resolve discrepancies in data, supporting preparation for scoring, reporting, and analysis.

Gather feedback and help identify opportunities to improve processes and exam delivery.

Work with internal teams, vendors, and exam sites to troubleshoot issues and maintain reliable operations.

Participate in testing activities and support system or process improvements that enhance exam delivery.
What you need to succeed
Experience
-
1 – 3 years in an operational coordination role, with experience in project coordination and system administration.

Experience in documenting processes.
-
Familiarity with system administration and data management within enterprise environments is an asset.
Technical Skills
-
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).

Experience in performing User Acceptance Testing (UAT), quality assurance and troubleshooting is an asset.

Education

Diploma in administration, project coordination or related equivalent experience
