We are currently seeking a highly organized and proactive Construction Administrator to support our Director of Design and Project Management team. This role helps keep projects organized and moving forward by coordinating information, documentation, and communication between the office, site teams, trades, suppliers, and clients.
This position is ideal for someone who enjoys structure, takes pride in accuracy and organization, and is willing to take ownership of both project coordination and day-to-day office support. Responsibilities
- Organize and maintain construction and modular project files (digital and physical)
- Maintain accurate, up-to-date project information within Construction Online and internal systems and communicated to the teams
- Support the organization and ongoing improvement of Construction Online, and assist staff or trades with system-related questions
- Coordinate with site supervisors and trades to ensure they have up to date and accurate information needed to complete their work
- Assist with document preparation and revisions
- Contact suppliers to request quotes, revisions, and supporting documentation
- Assist with permit research and documentation for new builds and modular homes
- Provide general office administration and coordination support to keep projects running smoothly
- Maintain a clean, organized office environment, including light tidying and stocking office supplies
- Greet clients and visitors in a professional manner
- Answer and direct incoming phone calls
Qualifications
- Strong organizational skills and excellent attention to detail
- Clear and professional communication skills, written and verbal
- Ability to manage multiple priorities in a fast-paced environment
- Proactive, self-motivated, and solutions-oriented
- Comfortable working with digital systems and learning new software
- Professional demeanor with a strong customer service mindset
- Experience in construction, permitting, project coordination, or office administration is an asset
