iVest Equity Mortgage Investment Corporation and Bax Mortgage Group are looking for an Office Administrator to assist our teams. iVest Equity Mortgage Investment Corporation is a private mortgage company based and operating in London Ontario for the past 10+ years. Bax Mortgage Group is an independent, family-run mortgage brokerage proudly serving London, Ontario and Southwest Ontario for over 30+ years.
The Office Administrator will be assisting both companies with the day-to-day business operations. The position is part time, Monday to Friday with flexible hours between 9am and 5pm. Both companies share office space located in London. The successful candidate will be required to work in person.
The Office Administrator will be responsible for providing mortgage administrative support to senior staff, delivering professional communication with clients and business partners, and ensuring proper compliance and organization of mortgage files.
Requirements:
- Minimum 3 years experience in office administration required.
- Post-secondary education required.
- Mortgage & Credit experience is an asset.
- Strong organization skills and attention to detail.
- Excellent proficiency of MS Office Software (Excel, Word, Outlook, PowerPoint).
- Familiarity with Google Workspace (Gmail, Google Drive, Google Calendar)
- Become excellent in the use of our Mortgage Software- Mortgage Automator and Filogix.
- Excellent verbal and written communication skills.
- Always engaged and willing to learn and grow.
- The ability to multi-task and prioritize responsibilities accordingly.
- Professional attitude with passion, dedication, initiative and commitment to excellence.
- Strong typing speed along with proofreading abilities to ensure error-free documents
Responsibilities/Tasks:
- Preparation, reconciliation and follow up of monthly borrower mortgage payments.
- Reconciliation of investor monthly dividend payments.
- Manage the office stationery, supply and filing needs.
- Preparing mortgage commitments and follow up of documentation requirements.
- Documenting calls and actions on our mortgage software- Mortgage Automator.
- Preparing renewal notices to borrowers and follow up of required documentation.
- Following up on property insurance cancellation notices.
- Inputting data into our software system Filogix.
- Ensuring proper compliance is achieved upon file closure.
- Assisting Mortgage Agents with general requests regarding compliance and procedures.
- Providing administrative support to the office as needed.
- Manage front desk operations, greeting clients/regular reception duties.
- Other duties as assigned.
Pay: $25.00-$30.00 per hour
