ABOUT THE ROLE
Reporting directly to the Interim CEO, the Senior Manager, Finance & Administration is a high-trust, execution-focused role. You will serve as the accountable financial and administrative lead, protecting the integrity of established systems, sustaining compliance obligations, and ensuring seamless continuity of Finance and Administration operations during a critical leadership transition. This is the role for a seasoned finance professional who takes pride in operational rigour, holds delegated financial authority with integrity, and understands that a well-run back office is itself an act of care for the communities we serve.
WHAT YOU WILL DO
Operational Finance Management
- Oversee the day-to-day financial operations ensuring continuity of accounting, payroll, accounts payable and receivable, and cash flow management.
- Exercise delegated financial signing authority for operational transactions (e.g., invoice approvals, vendor payments, cheque signing, expense reimbursements) per policy.
- Monitor budget-to-actual performance across departments; flag material variances and provide regular financial updates to the Interim CEO.
- Ensure timely completion of funder financial reports, government remittances, and other compliance filings in accordance with established schedules.
- Prepare quarterly reports for the finance and risk committees and maintain transparency.
- Maintain and safeguard internal financial controls and ensure compliance with policies and procedures.
- Support year-end processes, including T3010, annual report, and funder reporting.
- Directly supervise and support the Finance Manager, Accountant, and Accounts Payable Specialist, providing day-to-day guidance, workload oversight, and performance coaching.
Administrative and Reporting
- Oversee day-to-day facilities operations across all HF Care sites, ensuring safe, functional, and well-maintained working environments for staff and clients.
- Manage vendor and contractor relationships related to facilities, including lease administration, maintenance agreements, and service contracts.
- Ensure compliance with health and safety requirements across all physical sites in accordance with OHSA and organizational policy.
- Identify and escalate facilities-related risks or capital needs to the Interim CEO in a timely manner.
- Provide regular operational status reports to the Interim CEO and reports for the Board and relevant committees, covering Finance and Administrative functions.
- Support accreditation maintenance activities and ensure no lapse in compliance obligations during the transition.
- Act as the internal liaison across the Finance team and other departments to maintain alignment and resolve day-to-day operational issues.
- Maintain relationships with external vendors, funders, and regulatory bodies
- Escalate matters of strategic significance or those outside delegated authority to the Interim CEO for decision.
- Performs other operational duties as assigned by the Interim CEO.

Required
- Minimum 7 years of progressive experience in finance, accounting, or a combined finance and administration role, including direct management of finance staff.
- Working knowledge of non-profit financial management, including fund accounting, funder reporting requirements, and applicable regulatory compliance obligations
- Demonstrated commitment to equity, anti-oppressive practice, and inclusion across organizational functions
- Culturally competent communicator — able to build trust and navigate complexity across diverse teams, communities, and stakeholder groups
- Proficiency with CRMS & ERPs, Microsoft Office 365
- Post-secondary education in Finance, Accounting, Business Administration, or a related field, or equivalent professional experience
- Demonstrated experience holding financial signing authority and managing organizational budgets.
- A satisfactory and current Vulnerable Sector Screening is required.
Assets — Not Requirements
- CPA designation or equivalent accounting credential.
- Experience in a non-profit, healthcare, social services, or community-based organization
- Familiarity with Ontario funder reporting requirements (e.g., Ontario Health, Ministry of Health, United Way).
- Experience working with Boards and governance committees.
- Familiarity with PIPEDA or provincial privacy legislation; experience supporting a Privacy Officer function.
- Lived experience within East or Southeast Asian communities, or other communities facing systemic barriers to mental health care — valued and welcomed

Pay: $90,000.00-$100,000.00 per year
