About the Role We are a small, established health biotechnology company looking for an organized, trustworthy, and highly resourceful Executive & Operations Assistant. This is a unique hybrid role combining executive administration, business operations, and personal/business errands.
This is not a traditional, desk-only corporate EA role. It is designed for a grounded problem-solver who enjoys variety and is comfortable managing day-to-day office and personal matters to prevent loose ends from falling through the cracks. Because you will be supporting a busy executive, a "no task is too small" mentality is essential.
Structure & Flexibility This position can be part-time, full-time, or flexible/as-needed depending on your availability and skill set. If executive support only requires a portion of your day, the remainder of your time will be filled with broader business operations, research, or outreach activities tailored to your capabilities and strengths.
Key Responsibilities
- Executive Support: Manage scheduling, reminders, task tracking, and proactive follow-ups.
- Logistics & Errands: Handle personal and business errands, pick-ups, and coordinate local appointments.
- Operations & Outreach: Support referral-network building, practitioner liaison activities, and healthcare sector outreach.
- Administration: Assist with document organization, basic bookkeeping, vendor communication, and data management.
- Research: Conduct background research and prepare simple, actionable summaries on various topics.
- Workspace Management: Keep the office environment organized and coordinate with service providers or maintenance as needed.
- Hands-on Tasks: Help with occasional practical tasks (ranging from light office organizing to assisting with minor workspace or grounds maintenance if capable) to keep operations moving.
The Ideal Candidate
- Grounded & Adaptable: Willing to help with a wide range of tasks without being rigid about job boundaries. You measure success by how much friction you remove from the executive's day.
- Reliable & Discreet: High integrity, exceptional judgment, and absolute trustworthiness with sensitive business and personal data.
- Strong Communicator: Clear, professional, and confident when speaking with staff, vendors, and external healthcare contacts.
- Self-Starter: Able to take loose instructions, ask the right questions, and run with a project independently.
- Logistics-Ready: Possesses a valid driver’s license and regular access to a reliable vehicle.
Helpful Additional Skills (Assets, Not Requirements)
- A background or education in health sciences, biomedical fields, or healthcare.
- Experience in customer service, sales, hospitality, or front-facing roles.
- Prior experience with basic bookkeeping, administrative tracking, or digital tools.
- Practical, hands-on DIY skills (organizing, light fix-it ability, or gardening).
What We Offer A low-ego, direct, and collaborative working environment. For a capable and motivated individual, this role offers a stable foundation with room to organically grow and reshape the position around your professional strengths over time.
