Our Indigenous Primary Care Organization is dedicated to improving the health and wellbeing of Indigenous peoples, both in our local First Nation communities and those living in Urban and rural centres throughout Lambton County. Our team provides wholistic primary care that integrates clinical excellence with Indigenous knowledge, culture and traditions.
We are seeking an experienced Medical Office Assistant / Receptionist to join our growing team. The Medical Office Assistant / Receptionist will provide high-level administrative and organizational support. This role is essential in providing front-line administrative and client service support, ensuring welcoming, efficient, and culturally safe interactions for all clients accessing care.
Position Summary
Working in a culturally respectful and community-focused environment, the Medical Office Assistant / Receptionist is the first point of contact for clients and visitors. This role provides administrative and reception support to clinical and administrative teams, ensuring the smooth day-to-day operation of the clinic.
The successful candidate will be organized, discrete, compassionate, and detail-oriented, with strong interpersonal skills and a commitment to supporting Indigenous health and community wellness.
Key Responsibilities
Client Reception & Front Desk Services
- Greet clients, families, and visitors in a welcoming and respectful manner.
- Manage incoming calls, respond to inquiries, and direct calls appropriately.
- Schedule, confirm, and manage client appointments using electronic booking systems.
- Manage calendars, scheduling, and meeting coordination.
- Register clients, verify demographic and health information, and maintain accurate records.
- Coordinate client flow and notify clinical staff of arrivals.
Administrative & Clinical Support
- Maintain and update electronic medical records (EMR) and filing systems.
- Prepare and process patient charts, forms, referrals, and documentation.
- Support clinicians with administrative tasks such as faxing, scanning, and data entry.
- Maintain confidentiality and security of all client information in accordance with privacy legislation.
Office Operations
- Ensure reception and waiting areas are clean, organized, and welcoming.
- Monitor and order office and medical supplies as required.
- Process incoming and outgoing mail, faxes, and electronic communications.
- Support daily clinic operations and workflow efficiency.
Communication & Coordination
- Act as a liaison between clients, healthcare providers, and community partners.
- Provide clients with information about services, programs, and community resources.
- Support internal communication among team members.
- Support website social platform maintenance and correspondence
Administrative Operations
- Maintain organized files, records, and document management systems.
- Monitor deadlines, and follow-up related to referrals/ bookings.
- Support administrative processes related to organizational operations and initiatives.
Qualifications
Education
- Diploma or certificate in Medical Office Administration, Office Administration, or related field.
- Medical terminology training is required or strongly preferred.
- An equivalent combination of education and experience may be considered.
Experience
- Minimum 1–3 years of experience in a medical office, clinic, or healthcare administrative role.
- Experience using electronic medical record (EMR) systems is preferred. TELUS PS suites preferred.
- Experience in a primary care or community healthcare setting is an asset.
Skills and Competencies
- Excellent customer service and interpersonal skills.

- Effective written and verbal communication skills.
- Attention to detail and accuracy in data entry and documentation.
