Overview
Our law firm is looking for an experienced administrator to help keep our office organized and efficient. We are searching for a candidate who is capable of scheduling appointments and organizing files, is familiar with the Microsoft suite and capable of learning new software, and is able to work in a quick paced work environment. While experience in a law firm is not required, candidates who have previous experience in similar roles will be prioritized. We are seeking someone who is able to start their training as soon as possible in order to ensure a smooth transition.
Duties
- Handle incoming phone calls, emails and inquiries, providing excellent client support.
- Maintain and organize filing systems, ensuring all documents are accurately filed and easily accessible.
- Assist in managing office supplies and inventory, placing orders as necessary.
- Utilize our accounting software for basic bookkeeping tasks, including invoicing and payment processing.
- Perform clerical duties such as data entry, proofreading documents, and preparing reports.
- Coordinate appointments and schedules for staff members, ensuring optimal time management.
Skills
- Strong organizational skills with attention to detail in managing files and documentation.
- Proficient in using phone systems for effective communication.
- Experience in a legal office setting is preferred but not required.
- Familiarity with FileVine, Soluno, or other legal software is a huge asset.
- Excellent client support skills, demonstrating professionalism in all interactions.
- Ability to proofread documents for accuracy and clarity.
- Strong clerical skills with proficiency in Microsoft Office Suite or similar software.
