Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service.
- Perform data entry tasks using Microsoft Office and Google Workspace tools, ensuring accuracy and timeliness.
- Maintain organized filing systems, both physical and digital, including medical or dental office records if applicable.
- Support bookkeeping activities with QuickBooks or similar accounting software, including invoicing and expense tracking.
- Assist with clerical duties such as proofreading documents, scheduling appointments, and managing calendar events.
- Handle incoming correspondence, emails, and phone inquiries with professionalism and courtesy.
- Coordinate office supplies procurement, inventory management, and general administrative support to ensure operational efficiency.
Requirements
- Proven experience in an office environment with strong clerical skills and organizational abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer skills.
- Experience with data entry, filing systems, and maintaining accurate records.
- Familiarity with QuickBooks or other bookkeeping software is highly desirable.
- Excellent phone etiquette with experience managing multi-line phone systems and providing customer support.
- Strong typing speed along with proofreading skills to ensure error-free documents.
- Prior experience in medical or dental offices is a plus; familiarity with front desk duties such as patient scheduling or dental receptionist tasks is advantageous.
- Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment.
