Accounts Payable Clerk 1-Year Term
We are looking for an Accounts Payable Clerk in the new home construction industry to manage the full-cycle accounts payable process, specializing in high-volume invoice processing, subcontractor payments, and job cost coding.
Why This Role Matters
The Accounts Payable Clerk ensures that construction trades are paid accurately and timely with compliance of lien waivers and contract terms.
What You’ll Lead
- Invoice Processing: High-volume receiving, matching, coding, and processing of vendor invoices, subcontractor invoices, and purchase orders.
- Job Costing: Accurately coding invoices to specific projects, phases, and cost centers to maintain accurate budget tracking.
- Subcontractor/Vendor Relations: Setting up new vendors, addressing payment inquiries, and resolving billing discrepancies.
- Payment Runs: Preparing and processing payments via EFT, wires, or cheques to meet established payment terms.
- Reconciliation: Reconciling vendor statements, tracking outstanding balances, and ensuring all required backup documentation is on file.
- Compliance & Administration: Managing holdbacks (retention), verifying Lien Waivers/certificates of insurance, and maintaining accurate digital or physical files.
Typical Job Duties include:
- Monitoring vendor invoices via email and mail.
- Matching invoices with packing slips and purchase orders.
- Coding and processing invoices in ERP system
- Verifying vendor compliance and issuing payment
- Assisting with month-end closing activities and accruals.
- Ensuring compliance with company policies.
What You Bring
- College degree in accounting or finance related program
- Attention to detail: High accuracy in data entry and invoice coding.
- Professional & effective communication skills
- Ability to work in a fast-paced, team oriented, deadline driven environment with multiple competing priorities.
- Self-starter with high degree of initiative, autonomy and flexibility.
- Time management, prioritization, multitasking, and organizational skills
- Professionalism, tact, courtesy, and diplomacy skills
- Ability to establish and nurture productive relationships with staff, co-workers and trade partners
- Work experience as an Accounting Clerk or Accounts Payable Clerk (an asset)
Technical Skills
- Microsoft Office Suite, word processing, spreadsheets, databases, electronic mail/calendar applications and ERP software.
