Job Overview
We are seeking a detail-oriented and professional Legal Assistant/Receptionist to join our dynamic legal team. The ideal candidate will serve as primary dictatypist and secondary assistant to a lawyer, be responsible for completing lawyer's dictation, managing schedule, sending correspondence, and other various administrative tasks. This candidate will also serve as relief for reception during the lunch hour. This role requires strong organizational skills, knowledge of legal software, and a commitment to maintaining confidentiality and professionalism in a fast-paced environment.
Duties
- Greet clients and visitors warmly, ensuring a positive first impression of the firm.
- process dictation and correspondence.
- prepare accounts and daily docketing.
- Answer incoming phone calls with excellent phone etiquette, directing calls to appropriate personnel as needed.
- Manage the scheduling of appointments and meetings for lawyers and staff.
- Perform data entry tasks accurately, maintaining up-to-date client records and docketing time in PC Law.
- Assist with filing documents, both electronically and physically, ensuring proper organization and retrieval.
- Proofread documents for accuracy and clarity before distribution or filing.
- Support file management efforts by tracking deadlines and assisting with case preparation as required.
- Conduct client intake meetings to gather necessary information for potential new files when needed.
Qualifications
- experience in an administrative role, preferably within a legal environment.
- Strong writing skills with the ability to draft correspondence and documents professionally.
- Proficient in data entry with attention to detail to ensure accuracy in all records, must be proficient with Microsoft Word and Outlook. Proficiency with Excel an asset.
- Excellent proofreading skills to maintain high standards of written communication.
- Strong phone etiquette and interpersonal skills for effective communication with clients and colleagues.
- Ability to manage multiple tasks efficiently while maintaining a high level of organization.
- Experience in file management is a plus, demonstrating the ability to prioritize tasks effectively.
