We are seeking an organized, proactive, and detail-oriented Assistant Clinic Manager to join a respected and growing prevention-based medical clinic. This is a key leadership support role for someone who enjoys creating structure, ensuring accountability, and helping a busy healthcare team operate at its highest level.
Working closely with clinic leadership, the Assistant Clinic Manager will serve as a trusted right hand, helping oversee daily operations, support staff, maintain quality standards, and ensure important administrative and operational tasks are completed accurately and on time.
This position is being offered as a full-time maternity leave coverage role with an anticipated term of approximately 12 months. The clinic is currently experiencing growth and expansion, and while continued employment beyond the coverage period cannot be guaranteed, there may be opportunities for the successful candidate to be considered for future ongoing roles based on organizational needs and performance.
Key Responsibilities
- Support clinic leadership with day-to-day operations and administrative oversight
- Monitor staff scheduling, vacation requests, and workforce planning
- Coordinate and oversee patient enrollment and onboarding processes
- Ensure operational tasks, projects, and outstanding action items are completed efficiently
- Conduct quality assurance reviews and help maintain clinic standards and procedures
- Monitor workflows and support accountability across departments
- Maintain operational checklists, forms, policies, and documentation
- Ensure administrative processes are followed consistently and accurately
- Identify opportunities for process improvement and operational efficiencies
- Assist with staff support, communication, and team engagement initiatives
- Help create a positive, collaborative, and high-performing workplace culture
- Serve as a trusted partner to clinic leadership by helping tie up loose ends and ensuring nothing falls through the cracks
Required Qualifications
- Minimum 2 years of experience in an administrative, office coordination, or healthcare office role
- Strong organizational, time management, and project coordination skills
- Exceptional attention to detail with the ability to manage multiple competing priorities
- Experience with scheduling, administrative operations, and process management
- Strong interpersonal, written, and verbal communication skills
- Ability to work independently while collaborating effectively with leadership and team members
- Proficiency with EMR systems, Microsoft Office Suite, and other administrative software
- Professional, adaptable, and solution-oriented approach to problem-solving
Preferred Qualifications
- Previous leadership, supervisory, or management experience in a healthcare, medical clinic, or professional office environment
- Experience supporting clinic operations, healthcare administration, or executive-level leadership
- Experience implementing or improving administrative processes and workflows

Compensation & Benefits
- Competitive annual salary of $60,000–$65,000, based on experience and qualifications
