JOB SUMMARY:
We are seeking a highly organized, guest-focused, and energetic Program Coordinator – Groups & Events to join our team at Copper Point Resort. This role is centered around executing exceptional group experiences and supporting event coordination on the day of events, while also delivering elevated concierge-style guest services.
The ideal candidate thrives in a fast-paced environment, enjoys engaging with guests, and has a passion for creating seamless and memorable experiences. This position plays a key role in supporting group programming, coordinating event logistics on-site, and enhancing the overall guest journey through curated local experiences and partnerships.
JOB RESPONSIBILITIES
Groups & Events Coordination
- Support the Groups & Events Coordinator in the execution of group bookings, conferences, and special events.
- Act as the on-site point of contact during events, ensuring smooth execution of schedules, setups, and transitions.
- Coordinate with internal departments (Housekeeping, F&B, Maintenance, Front Office) to ensure event readiness and service delivery.
- Assist with event setup verification, room inspections, signage placement, and activity coordination.
- Monitor event flow throughout the day and proactively resolve any issues to maintain a high service standard.
- Engage with group organizers and guests to ensure expectations are met or exceeded.
Guest Experience & Concierge Services
- Provide concierge-style service, assisting guests with:
- Local recommendations (dining, activities, attractions)
- Itinerary planning
- Booking tours, activities, and transportation
- Maintain strong knowledge of local experiences, seasonal activities, and resort offerings.
- Assist in curating personalized guest experiences aligned with a 4-star resort standard.
- Handle guest inquiries and concerns with professionalism and efficiency.
- Communicate effectively with the Front Office Manager and other department heads regarding guest activities, program logistics, and operational needs.
Partnership Development & Experience Curation
- Build and maintain relationships with local tour operators, activity providers, and businesses.
- Identify opportunities to create value-added guest experiences and exclusive partnerships.
- Coordinate bookings and availability with external partners for guest and group experiences.
- Support cross-promotional initiatives that enhance resort offerings.
Activity & Program Support
- Assist in executing seasonal programming and group-specific activities.
- Support the setup and coordination of on-site activities tied to group events.
- Ensure all materials, equipment, and logistics are prepared in advance.
- Gather feedback from guests and groups to improve future programming.
Administrative & Operational Support
- Maintain accurate records of bookings, guest requests, and event notes.
- Assist with tracking participation, guest feedback, and program performance.
- Coordinate billing details with accounting where required (activities, partner services).
- Support the preparation of daily event summaries and internal communication updates.
QUALIFICATIONS:
You are enthusiastic, creative, and excited to help shape the guest experience at Copper Point Resort. Other qualities include:
- Previous experience in hospitality, events coordination, tourism or guest services.
- Strong interpersonal and communication skills with a passion for guest engagement.
- Highly organized with the ability to manage multiple priorities in real-time.
- Ability to remain calm and solution-focused in a fast-paced event environment.
- Experience with booking systems or PMS platforms (WebRezPro is an asset).
- Knowledge of the local area and tourism offerings is highly desirable.
REQUIREMENTS:
- Ability to work efficiently with minimal supervision, independently and as part of a team;
- Ability to work flexible hours including evenings, weekends, and holidays.
- Ability to stand and move throughout the property for extended periods.
- Comfortable working both independently and collaboratively across departments.
- Strong attention to detail and proactive problem-solving skills.

Pay: $19.50-$22.00 per hour
