Academic Quality Assurance Officer
Full-time, Indefinite (40 hours/week)
Associate Director, Academic Operations and Quality Assurance
$60,000.00 - $70,000.00 annually
Position Summary
The Academic Quality Assurance Officer is responsible for the operationalization and administration of IBU's academic quality assurance. Reporting to the Associate Director, Academic Operations and Quality Assurance, this role implements institutional QA processes, maintains compliance documentation, conducts audits, and ensures consistent application of quality standards across all online and in-person academic programs in alignment with regulatory and institutional requirements.
Key Responsible Areas:
1. Academic Quality Assurance & Continuous Improvement
- Ensure that institutional academic QA processes and procedures are being followed as per the Institutional Quality Assurance Policy and aligned with regulatory and accreditation standards.
- Administer, process and report on course evaluations, program review data, and quality metrics.
- Monitor and track continuous improvement actions, ensuring completion, documentation, and evidence collection.
- Maintain and update QA dashboards, trackers, and reporting systems for academic leadership.
2. Accreditation & Regulatory Compliance
- Coordinate and execute accreditation documentation, submissions, and evidence compilation.
- Maintain and audit institutional QA records to ensure audit readiness and regulatory compliance.
- Verify program documentation (curriculum maps, LO alignment, assessments) against regulatory requirements.
- Apply and enforce QA and accreditation standards across programs.
3. Academic Policy, SOPs & Governance
- Implement and operationalize academic policies, procedures, and SOPs across all units.
- Monitor compliance with institutional policies and escalate deviations.
- Maintain version control systems, audit trails, and policy repositories.
4. Course and Program Quality Review
- Support the Associate Director with structured audits of course outlines, syllabi, and assessment plans.
- Report on alignment between learning outcomes, assessments, and curriculum standards.
- Document quality gaps and required corrective actions.
- Track and verify completion of corrective actions with academic units.
5. Data Analysis, Reporting & Institutional QA Monitoring
- Extract, analyze, and interpret academic quality data (student performance, progression, evaluations).
- Identify and report to the Associate Director any operational risks, variances, and trends requiring intervention.
- Produce standardized QA reports and compliance summaries.
- Maintain reporting cycles and ensure data accuracy for institutional and external reporting.
6. Faculty Quality Support & Academic Integrity
- Provide operational guidance to faculty on QA requirements, assessment compliance, and documentation standards.
- Monitor adherence to academic integrity and assessment policies.
- Deliver structured QA training sessions and compliance briefings.
- Support implementation of approved quality standards within courses.
7. Cross-Functional Coordination
- Align QA requirements with operational delivery processes in collaboration with Academic Delivery.
- Ensure course readiness reviews include defined QA checkpoints.
- Coordinate data collection processes across Registrar, Student Services, IT, and Compliance.
- Support QA cycles, audits, and institutional planning exercises.
8. Skills-Based Curriculum Quality Assurance
- Execute quality assurance processes specific to skills-based and competency-based curriculum elements.
- Validate alignment between program learning outcomes, course-level skills, and industry-relevant competencies.
- Review and audit skills mapping matrices to ensure measurable and assessable skill development across courses.
- Monitor implementation of experiential, applied, and work-integrated learning components aligned with skills outcomes.
- Verify assessment strategies for skills demonstration (e.g., projects, simulations, applied tasks) against institutional QA standards.
- Track student achievement of defined skills competencies through data systems and reporting tools.
- Maintain documentation and evidence supporting skills-based learning outcomes for accreditation and audit purposes.
- Support continuous improvement of skills-based curriculum design through data-driven QA findings.
- Collaborate with program leadership to ensure consistency of skills progression across levels.
- Contribute to institutional readiness for external review of skills-based program quality (e.g., PEQAB, accreditation bodies).
Qualifications & Application Process:
The successful candidate shall possess the following skills and qualifications:
- Undergraduate degree in a related field; master's degree preferred.
- Minimum 2 years of progressive experience in academic quality assurance.
- Demonstrated success in operationalizing academic quality assurance and integrity frameworks.
- Excellent project management and organizational skills, with the ability to handle multiple tasks and deadlines.
- Excellent communication and interpersonal skills.
- Strong knowledge of academic policies, accreditation standards, and institutional compliance.
- Technological fluency with AI, LMS (e.g., Canvas), CRM tools, and data dashboards.

This position is based in a hybrid work arrangement, with employees working on-site four (4) days per week and the option to work remotely one (1) day per week, based on business needs. Employees will be required to come on-site as needed and are expected to reside in Ontario and within a reasonable commuting distance of the office/campus.
