We are seeking a Booking & Billing Coordinator to join our dedicated team. This role is the vital first point of contact for our patients and serves as a primary navigator for both their clinical requirements and their financial/administrative needs.
Key Responsibilities
1. Patient Interaction & Clinical Support
- Serve as the primary contact for patients beginning their fertility journey.
- Support patients following their initial consultation by sending comprehensive information regarding their next diagnostic steps, including bloodwork and imaging requirements.
- Provide empathetic and professional responses to patient questions, offering a clear overview of timelines and processes.
2. Scheduling and Coordination
- Schedule consultations and manage patient appointments in the clinic calendar.
- Confirm consultation appointments, ensuring patients complete intake evaluations and medical histories before their visits.
- Maintain the Medical Director's calendar, filling gaps from cancellations to maximize scheduling efficiency.
- Set up new patients in the clinic's EMR program, ensuring accurate recordkeeping and onboarding.
3. Billing and Financial Management
- AHS Billing: Manage and submit billing through Accuroaccurately and in a timely manner.
- Clinic Invoicing: Invoice patients and process payments for non-insured services efficiently.
- Financial Navigation: Assist patients with insurance documentation and financial navigation to streamline their experience.
4. Documentation, Compliance & Data Management
- Database Maintenance: Maintain and update patient databases, ensuring all information is current and accurate.
- Reporting: Generate and provide regular reports on patient data, including daily metrics (dates of contact, booked appointments, and diagnostic statuses) to monitor operational performance.
- Regulatory Adherence: Safeguard patient confidentiality in strict adherence to HIA (Health Information Act), and clinic standards.
- External Coordination: Fax appointment confirmations to general practitioners and manage outgoing referrals
5. Team Collaboration
- Work closely with physicians, nurses, laboratory staff, and administrative teams to ensure coordinated, seamless care.
- Participate in quality assurance initiatives to identify areas for improvement in the patient journey.
Essential Qualifications
Education:
- Medical Office Assistant (MOA) Diploma or equivalent experience in a healthcare setting is preferred.
Experience:
- 2–3 years of experience in a patient-facing role, preferably in fertility or reproductive health.
- Strong experience with Alberta Health Services (AHS) billing processes.
- Familiarity with electronic medical records (EMR) systems (e.g., eIVF) is highly preferred.

- Professionalism: Maintains high levels of confidentiality and adheres to all healthcare regulations.
