Property Operations Coordinator
Job Overview
We are seeking an organized, detail-oriented Property Operations Coordinator to support the day-to-day operations of a growing residential rental portfolio. The primary focus of this role is coordinating and conducting all move-in and move-out inspections, ensuring suites are thoroughly documented, deficiencies are identified, and turnover timelines are met.
This is a hands-on position that combines field work with administrative coordination. A significant portion of your time will be spent on-site conducting inspections, coordinating suite turnovers, delivering notices, and supporting property operations. Our portfolio is primarily located in Vancouver and New Westminster, so regular travel between properties is required. We are looking for someone who enjoys being out at properties, has exceptional attention to detail, and takes pride in ensuring day-to-day property operations are completed thoroughly, accurately, and professionally.
You will work closely with our operations team to keep properties operating efficiently while delivering a professional experience for both incoming and outgoing tenants.
Responsibilities
- Own the entire move-in and move-out inspection process, including scheduling inspections, meeting tenants, completing detailed inspection reports, photographing suite conditions, documenting deficiencies, obtaining signatures, and ensuring all required documentation is complete and accurate.
- Coordinate all suite turnover activities by working closely with maintenance staff, cleaners, painters, flooring contractors, and other vendors to ensure vacant suites are completed on schedule and ready for new tenants.
- Conduct follow-up inspections to verify turnover work has been completed to company standards before new tenants take possession.
- Deliver notices, attend properties as required, and act as an on-site presence to support day-to-day operations.
- Assist with compliance-related site visits, including coordinating and attending fire inspections and other property inspections as required.
- Support leasing activities, including conducting property showings and assisting prospective tenants when needed.
- Maintain accurate tenant records, inspection reports, maintenance requests, lease documentation, and property files using property management software.
- Coordinate with vendors, contractors, and internal staff to ensure maintenance requests and operational tasks are completed efficiently.
- Assist with general administrative tasks related to property operations while maintaining organized electronic and physical filing systems.
Qualifications & Skills
- Previous experience in residential property management, real estate administration, or a related field is preferred.
- Experience conducting move-in and move-out inspections is considered a strong asset.
- Excellent attention to detail with the ability to identify maintenance deficiencies and document suite conditions accurately.
- Strong organizational and time management skills with the ability to prioritize multiple responsibilities and meet deadlines.
- Professional communication skills and the ability to coordinate effectively with tenants, vendors, contractors, and internal team members.
- Comfortable working independently while collaborating effectively with a team.
- Proficiency with property management software such as Buildium, Yardi, or similar platforms, along with Google Workspace.
- Valid driver's licence and reliable transportation are required.

Pay: From $50,000.00 per year
