Summary:
We are seeking a full-time, self-motivated, and highly organized Sales Coordinator. This role is about keeping customer orders moving accurately from quote/order handoff through delivery. The right person will be the steady point of coordination between customers, sales, design/estimating, purchasing, operations, production, and delivery.
To be successful in this role, you must be comfortable managing details, timelines, changes, and follow-up in a fast-paced construction supply environment. You should be confident communicating with customers and internal teams, able to work independently, and willing to learn the details of residential framing systems, lumber, EWP, trusses, and related building material packages.
Key Responsibilities:
- Facilitate customer orders from quote/order handoff through purchasing, production, delivery, and close-out.
- Confirm order details, pricing, product availability, delivery timelines, jobsite requirements, and customer expectations.
- Enter, update, and maintain accurate customer, quote, order, and delivery information in company systems.
- Coordinate with outside sales, inside sales, design/estimating, purchasing, yard/operations, production, and delivery teams to keep orders moving.
- Monitor order status, back orders, delivery dates, revisions, and change requests, and communicate updates proactively.
- Follow up with customers and internal teams to confirm schedules, clarify missing information, and resolve issues quickly.
- Review drawings, takeoffs, order notes, and project information as needed to understand scope and identify potential gaps.
- Prepare and maintain sales/order documents, customer records, and project communication notes.
- Support the sales team administratively without being primarily responsible for outbound sales or revenue targets.
Requirements:
- Highly organized and able to manage multiple active orders, timelines, details, and follow-ups without letting things fall through the cracks.
- Strong accuracy in order entry, documentation, pricing, delivery details, and customer communication.
- Can build trust with customers by providing updates, timely follow-up, and practical problem solving.
- Comfortable coordinating across departments and keeping the right people informed at the right time.
- Proficient with Microsoft Office and general business software. Experience with Epicor BisTrack is a strong asset.
- Building construction or building materials knowledge is an asset. Understanding of residential framing systems, lumber packages, EWP, trusses, and framing-related workflows would be highly beneficial.
- Able to work effectively with sales, design, estimating, purchasing, operations, production, and delivery teams to support the customer and the project.
- Identify gaps, ask good questions, and help resolve order or schedule issues before they escalate.
