JOB DESCRIPTION
Heritage Ford is seeking an experienced and customer-focused Parts Advisor to join our growing team. The successful candidate will be responsible for providing exceptional support to retail, wholesale, and internal customers by accurately identifying, sourcing, and supplying genuine Ford and Motorcraft parts.
A significant portion of this role will involve managing parts procurement for our on-site collision centre, including the use of CollisionLink and Mitchell RepairCenter to support insurance and customer-pay repairs
This role requires strong product knowledge, attention to detail, and the ability to thrive in a fast-paced dealership environment.
Key Responsibilities
- Assist retail, wholesale, and internal customers with parts inquiries, orders, and purchases
- Accurately identify Ford and Motorcraft parts using manufacturer catalogs, VIN decoding, and dealership software
- Provide parts estimates and quotations for customer-pay, warranty, and internal repair orders
- Work closely with Service Advisors and Technicians to ensure timely parts availability and efficient vehicle repairs
- Process special-order parts, backorders, returns, warranty claims, and core returns in accordance with Ford policies and procedures
- Receive, inspect, stock, and organize incoming parts shipments
- Maintain accurate inventory records and assist with inventory counts and stock management
- Promote Ford and Motorcraft products while identifying opportunities for additional parts and accessory sales
- Maintain a clean, organized, and safe parts department
- Ensure all transactions are processed accurately and in accordance with dealership policies
Additional Responsibilities
- Manage and process all parts orders for the dealership's on-site collision centre
- Accurately identify, source, and order OEM Ford and Motorcraft collision parts through CollisionLink, Mitchell, and other industry-standard estimating platforms
- Coordinate with Body Shop Estimators, Technicians, and Insurance Partners to ensure timely delivery of required parts
- Monitor backorders and proactively communicate delays or alternative solutions to the collision centre team
- Process collision-related returns, credits, and warranty claims in accordance with manufacturer and supplier guidelines
- Ensure that quality control process is applied to all parts, alongside returning any damaged or mis-packaged parts in a timely manner
Qualifications & Requirements
- Previous automotive dealership parts experience required
- Ford dealership parts experience strongly preferred
- Knowledge of PBS dealership software considered an asset
- Strong understanding of automotive vehicle systems and components
- Excellent customer service, communication, and problem-solving skills
- Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment
- Ability to work independently and collaboratively within a team environment
- Valid Ontario G Driver's License with a clean driver's abstract
- Ability to lift and move automotive parts and materials as required
