Summary
The Administrator/Accounts Payable Coordinator is responsible for supporting the project teams, senior management, and clients by ensuring that reporting is completed in a timely and accurate manner. They have a strong understanding and knowledge of accounting and cost control principles, and experience preparing and processing payroll and payable invoices.
Job Duties:
· Set up new hires in the payroll system QuickBooks, process Lay Offs and Issue Records of Employment and Year-end T4’s
· Inputs and reconciles timesheets, and manages weekly and monthly union remittances
· Receive material invoices daily – enter cost and approvals into Quick Books
· Enter subcontract and purchase order invoices from sub trades in Quick Books/Prepares cheques when payment received from owner for subcontract and purchase
· Pay material invoices at month end and match with monthly statement
· Month-end job costing – balance material/purchase orders/subcontract for each job with Quick Books for accountant’s month end reports
· Maintain vehicle logs and maintenance records, licence plate renewals, safety & insurances
· Fuel usage records and reports / Petro Canada cards, month end statements and receipts
· Company credit card – Spend Dynamics – receipts, cost allocating
· Create new job set-up – purchase orders/contracts/sub trade contracts/site supervisor binder Notice of Project
· Document Control – maintains project documentation – Signed CCDC contracts/bonds/WSIB/Insurance
· Responsible for completing change orders to sub trades/ CCN’s to architect
· Manage Substantial Performance publications
· Assist with month-end and year-end close processes
· Performs miscellaneous clerical functions as required

Qualifications and Experience
· 5+ years of payroll and accounting experience preferred. Experience in a Construction environment would be an asset
· Completion of an Ontario Secondary School Diploma. College business or accounting diploma or University degree is an asset
· Accounting designation is an asset
· Comprehensive knowledge of payroll and accounts payable/receivable processes
· In-depth knowledge of Quick Books and Microsoft software packages
Job Types: Full-time, Permanent
Pay: $26.50-$32.00 per hour
