Overview
We are seeking a professional and organized Receptionist/Administrator to join our team. This role is vital in ensuring smooth daily operations, providing exceptional customer service, and maintaining efficient office functions. The ideal candidate will have strong clerical skills, proficiency with office software, and experience in a front desk office environment. This position offers an engaging work environment where attention to detail and excellent communication are highly valued. Experience with Quickbooks is an asset.
Duties
- Greet visitors and clients in a friendly and professional manner at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks as needed
- Handle appointment scheduling, confirmations, and rescheduling for clients or patients
- Maintain organized filing systems both digitally and physically, including medical or dental records if applicable
- Assist with administrative tasks such as photocopying, faxing, mailing, and document proofreading
- Support bookkeeping activities including basic invoicing and record keeping
- Provide exceptional customer service by addressing inquiries and resolving issues efficiently
- Ensure the reception area remains tidy and welcoming at all times
- Support other administrative functions such as calendar management, email correspondence, and report preparation
Qualifications
- Proven experience in an office setting with clerical or administrative responsibilities
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks preferred
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with keen attention to detail
- Effective phone etiquette and customer service skills for front desk interactions
- Experience with data entry, filing systems, and proofreading documents
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Strong organizational skills with the ability to prioritize tasks effectively
- High school diploma or equivalent required; additional administrative training or certification is advantageous
Pay: $22.00-$35.00 per hour
