We are seeking a friendly, organized, and detail-oriented Front Desk Receptionist to join our growing dental clinic. As the first point of contact for our patients, you will play a key role in creating a welcoming environment while ensuring smooth front office operations. The ideal candidate is professional, reliable, and thrives in a fast-paced clinical setting. Experience with dental software and patient scheduling is essential.
Key Responsibilities
- Greet and assist patients in a warm, professional manner, ensuring a welcoming experience.
- Answer incoming calls promptly, manage inquiries, and direct calls appropriately.
- Schedule and confirm appointments using ClearDent, Dentrix, or Tracker software.
- Process patient information accurately, including data entry, insurance details, and medical history updates.
- Manage incoming and outgoing correspondence, including emails, mail, and faxes.
- Handle billing support, process payments, and coordinate insurance claims when needed.
- Maintain an organized front desk and reception area at all times.
- Support dental staff with administrative duties such as record keeping, filing, and document management.
- Ensure compliance with patient confidentiality and clinic policies (PHIPA guidelines).
- Provide exceptional customer service while addressing patient concerns courteously and efficiently.
Requirements
- Minimum 2 years of experience as a dental receptionist or in a related medical office role.
- Proficiency in dental management software (ClearDent, Dentrix, or Tracker).
- Strong knowledge of dental terminology, insurance claims, and billing procedures.
- Excellent communication and interpersonal skills — both verbal and written.
- Knowledge with Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities in a busy clinical environment.
- High attention to detail and accuracy in data entry and record management.
- Professional demeanor, patient-first attitude, and a reliable work ethic.
- Experience handling confidential information with discretion.
Preferred Qualifications
- Experience working with dental insurance providers and handling electronic claim submissions.
- Familiarity with health and safety procedures in clinical settings.
- Bilingual abilities (e.g., English/French, English/Spanish) considered a plus.
