Qualifications:
Hold a Diploma of Vocational Studies in a specialty appropriate for the class of employment, a Secondary School Diploma or an attestation of studies recognized as equivalent by the competent authority, and have one (1) year of pertinent experience
AND
Have a basic knowledge of office automation
Other Requirements:
- Strong interpersonal and communication skills
- Bilingual
- Ability to work under pressure, particularly during peak periods with a strong ability to prioritize and multitask
- Ability to maintain and streamline filing system procedures
- Ability to work autonomously with minimal supervision and as a member of a team
- Able to effectively interact with a low-literacy, multicultural population
- Proficient knowledge of Microsoft Office
- Knowledge of RAC is an asset
- Experience in Adult and Vocational Education is an asset
- Knowledge of JADE is essential
- Knowledge of PAIE an asset
- Knowledge of Mosaik/Dophin an asset
Nature of the work:
The principal and customary work of an employee in this class of employment consists in performing a variety of administrative duties of a complex nature according to established methods and procedures.
Daily Tasks/Dossiers:
- The employee compiles data, performs simple calculations and prepares reports.
- The employee fills out forms, cards, purchase orders, form letters, notices, or any other simple document of the same nature and forwards them, as required.
- The employee answers and transfers telephone calls; receives and forwards messages and faxes; provides information of a general nature on the telephone or in person; greets and, if necessary, directs visitors. They draft notes or emails concerning telephone calls..
- The employee files documents, and, if necessary, collects fees.
- The employee will be required to enter, in a computer, texts and various data from manuscripts or other sources; he or she verifies the accuracy of the data or any other data contained on a list or document.
- The employee may be required to carry out supervision in premises where aptitude tests are being administered.
- The employee processes approved timesheets for contracted workers and enters them into the Paie system.
- The employee performs a period bank reconciliation and enters the information into the financial system.
- The employee may be required to receive, stamp, sort, and file mail and ensures its distribution.
- They will need to photocopy or scan documents as required.
- The employee uses a computer and the necessary software to perform their duties related to word processing, database entry, spreadsheets, and in-house programs; they use e-mail. They may be required to help, on occasion, colleagues with the common software and programs used.
- If need be, they perform any other related duty.
