Job Overview
We are seeking a detail-oriented and organized Bookkeeper/Administrative Assistant to join our team. This role is vital in maintaining accurate financial records, managing administrative tasks, and providing exceptional support to our office operations. Responsibilities
- Manage bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial reporting
- Perform data entry with accuracy and efficiency to maintain up-to-date records
- Handle front desk duties such as greeting visitors, answering multi-line phone systems, and managing incoming calls with professional phone etiquette
- Maintain organized filing systems both electronically (Google Workspace, Microsoft Office) and physically for easy retrieval of documents
- Assist with administrative tasks including scheduling appointments, preparing correspondence, and proofreading documents
- Provide customer support through effective communication and problem-solving
- Support medical or dental office operations if applicable, including patient record management and appointment scheduling
- Perform clerical duties such as filing, photocopying, and managing office supplies
Requirements
- Proven experience in office administration or clerical roles, preferably in medical or dental offices
- Strong proficiency with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and general computer skills
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Experience with data entry, proofreading, and maintaining accurate records
- Exceptional customer service skills with professional phone etiquette and a friendly demeanor
- Ability to handle front desk responsibilities including multi-line phone systems and customer interactions
- Prior experience in bookkeeping or financial record management is highly desirable
- High attention to detail and strong organizational skills to ensure accuracy in all tasks
Pay: $18.00-$21.00 per hour
