Less Overlap is looking for an organized, reliable, and professional Administrative Assistant / Office Administrator to join our team in the Richmond Hill and Markham area, near Leslie Street and Highway 7.
This is a full-time, on-site position paying up to fifty thousand dollars per year, depending on experience. Benefits are included.
About the Role
The Administrative Assistant / Office Administrator will support the day-to-day operation of a busy office and assist with a variety of administrative and operational responsibilities.
This role may include office coordination, documentation, scheduling, communication, record keeping, logistics, and general office organization.
The position is well suited to someone who enjoys variety, is comfortable managing multiple priorities, and takes pride in keeping information, tasks, and office processes organized.
Responsibilities
Provide day-to-day administrative support to the office team.
Answer and direct telephone calls and respond to general email inquiries.
Prepare, organize, scan, copy, and file documents.
Maintain accurate electronic and paper records.
Enter and update information in spreadsheets and company systems.
Assist with scheduling, meetings, appointments, and calendars.
Coordinate deliveries, vendors, service providers, and other office-related matters.
Communicate professionally with employees, suppliers, customers, and other business contacts.
Follow up on outstanding paperwork, requests, and administrative tasks.
Prepare correspondence, spreadsheets, reports, and internal documents.
Monitor office supplies and place orders when required.
Help maintain an organized and professional office environment.
Support communication and coordination between the head office and multiple retail locations.
Assist with additional administrative and operational duties as required.
Qualifications
Previous experience as an Administrative Assistant, Office Administrator, Office Assistant, Receptionist, or in a similar administrative role.
Strong organizational and time-management skills.
Strong attention to detail and accuracy.
Good written and verbal communication skills.
Comfortable using Microsoft Word, Excel, Outlook, and general office software.
Comfortable learning new systems and procedures.
Able to manage changing priorities in a busy office environment.
Professional and courteous when communicating by phone, email, and in person.
Able to work independently and as part of a team.
Dependable, punctual, and able to handle confidential information appropriately.
Preferred Experience
Experience supporting a busy office or operations team.
Experience coordinating with multiple departments or business locations.
Experience preparing documents, spreadsheets, and reports.
Experience working with vendors, suppliers, deliveries, or service providers.
Experience in a retail, distribution, or multi-location business environment would be considered an asset.
Candidates are not expected to have experience in every area. We are looking for someone with strong administrative skills, good judgment, and a willingness to learn.
Position Details

The salary is up to fifty thousand dollars per year, depending on experience.
