We are seeking a highly organized, detail-oriented General Office Administrator to join our team. This is a dynamic position that supports multiple areas of the business, including operations, accounting, project administration, and general office functions. The successful candidate will be adaptable, proactive, and able to manage competing priorities in a fast-paced environment.
Key Responsibilities
Accounts Payable & Accounting Support
- Process vendor invoices accurately and efficiently.
- Create, issue, and maintain purchase orders in accordance with company procedures.
- Perform three-way matching of purchase orders, invoices, and supporting documentation.
- Verify pricing, quantities, approvals, and coding before processing invoices.
- Reconcile vendor statements and investigate discrepancies.
- Respond to vendor inquiries professionally and promptly.
General Office Administration
- Provide administrative support to Operations, Accounting, and Management.
- Maintain accurate subcontractor, vendor, and company records.
- Perform data entry with a high level of accuracy.
- Answer and direct phone calls, emails, and visitor inquiries professionally.
- Maintain electronic and paper filing systems.
- Support communication between office staff, field personnel, clients, and vendors.
- Perform other administrative duties as assigned.
Qualifications
- Minimum 2-3 years of administrative, accounting, or office experience.
- Experience in accounts payable, bookkeeping, or office administration is preferred.
- Experience in drilling, construction, oil & gas, mining, or industrial environments is considered an asset.
- Proficient with Microsoft Office Suite, particularly Excel, Word, and Outlook.
- Experience with Sage, Jobutrax, DATS, OpenInvoice/OpenTicket, or similar software is an asset.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to work independently while collaborating effectively within a team.
