The Central Student Association (CSA) represents and serves undergraduate students at the University of Guelph. Through advocacy, services, events, student supports, and business operations, the CSA works to enhance student experience and strengthen campus life. We are seeking an organized, collaborative, and creative Events Coordinator to lead the planning and delivery of student events and programming alongside our Executive Team. As a permanent staff member, the Events Coordinator must uphold and support the CSA's Mandate and Approach and work towards the overall success of the CSA and the Team as we serve our members.
Position Summary
Reporting to the Executive Director, the Events Coordinator is responsible for planning, coordinating, and evaluating a wide range of CSA events and initiatives that enhance the undergraduate student experience. Working closely with the elected student Executive Team, staff, and campus partners, the Events Coordinator oversees major annual events, supports organizational programming, coordinates event logistics, and ensures all events are delivered safely, effectively, and in accordance with organizational policies and risk management practices.
Key ResponsibilitiesEvent Planning & Programming
- Plan, coordinate, and evaluate CSA events and programming.
- Lead the planning and delivery of major annual events, including Orientation Week
programming, Homecoming programming, the Annual General Meeting, General Members
Meeting, Student Memorial Service, and All-Candidates Forum.
- Develop event plans, timelines, budgets, and post-event evaluations.
- Coordinate vendors, entertainment, venues, contracts, and event logistics in collaboration with
our external programmer.
- Support the Executive Team in developing and implementing new programming and student
engagement initiatives by providing annual training on event planning, offering guidance
throughout the planning process, and supporting successful execution of initiatives throughout
the year.
Stakeholder Collaboration
- Build and maintain strong relationships with university departments, student groups, vendors,
and community partners.
- Collaborate with CSA staff to ensure successful planning and delivery of events.
- Work closely with the Promotional Services Coordinator to support event marketing and
communications.
Risk Management & Operations
- Ensure events comply with CSA policies, university procedures, and applicable legislation.
- Oversee event risk management processes and support the Student Events & Risk Management
(SE&RM) Committee.
- Supervise the SE&RM Coordinator.
- Develop event documentation, emergency planning, and operational procedures to support
successful event delivery.
Budget & Administration
- Manage event budget and monitor expenditures.
- Assist with contract administration and financial reporting related to programming.
- Prepare reports, schedules, and recommendations as required.
QualificationsThe ideal candidate will possess:
- A university degree or college diploma in event management, recreation, communications, public
administration, or a related field.
- Experience planning and delivering medium-to-large-scale events.
- Experience managing multiple projects and competing priorities.
- Demonstrated leadership or supervisory experience.
- Strong organizational, communication, and problem-solving skills.
- Experience working with post-secondary students or within a student-focused organization is
considered an asset.
- Knowledge of event risk management, health and safety, and accessibility practices is considered
an asset.

Employment Details
- Full-time, permanent position.
- Three-month probationary period.
- Evening and weekend work is required during major events, particularly Orientation Week and
the annual election period.
- Compensation: $50,000 - 60,000
