Position Summary
The Executive Assistant provides high-level administrative and operational support to the Executive Director and Program Director. This role is designed to serve as a strategic partner, helping leadership stay focused by acting as a buffer, connector, and amplifier across the organization.
The Executive Assistant ensures smooth day-to-day operations, clear and timely communication, follow-through on priorities, and proactive problem-solving. The role requires a high degree of professionalism, discretion, initiative, and trust.
Key Responsibilities
- Executive & Strategic Support
- Act as a key point of coordination between the Executive Director, Program Director, staff, and external stakeholders
- Draft, respond to, and manage emails on behalf of leadership as required
- Screen incoming messages, requests, and inquiries, ensuring urgent or high-priority items receive timely attention
- Facilitate the flow of information between leadership, ensuring clear and timely communication
- Proactively identify challenges and present well-considered solutions, recommendations, and next steps to support informed decision-making
- Keep projects and initiatives on track with minimal supervision
- Planning & Coordination
- Coordinate meetings, schedules, and calendars for the Executive Director
- Prepare agendas and supporting materials for staff and Board meetings
- Track key initiatives, deadlines, and follow-ups to ensure accountability and progress
- Coordinate across departments when leadership is pulled in multiple directions
- Assist with planning centre events, team-building activities, and community meetings
- Book travel and accommodations for staff training or meetings as required
- Program & Administrative Support
Support the Program Director with:
- Scheduling and oversight of building repairs and maintenance
- Ensuring adequate staffing coverage during employee absences
- Program administration and delivery support
Provide administrative support across the organization, including:
- Organizing files, reports, contracts, and internal documents
- Support grant processes by assisting with funding research, grant writing, tracking, and reporting, while maintaining donor-related administrative records and deadlines.
- Producing letters, reports, presentations, and documentation as requested
- Communication & Information Management
- Ensure effective internal communication across teams and programs
- Collect weekly and monthly updates from Program Leads
- Prepare monthly newsletters, reports, and Board documentation
- Assist Program Leads with reporting requirements and deadlines
- Confidentiality & Professionalism
- Handle sensitive and confidential information with the highest level of discretion
- Maintain strong professional boundaries and ethical standards
- Always act as a trusted representative of leadership
Qualifications
- Grade 12 Diploma (or equivalent Adult Dogwood); post-secondary education an asset.
- Experience in a social services or community support role is preferred.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook), Zoom, and cloud storage platforms (Dropbox, OneDrive, Google Drive)
- Familiarity with Indigenous service organizations and urban Indigenous communities
- Valid Class 5 Driver’s License and a clean Driver’s Abstract
- Clear and current Criminal Record Check (including Vulnerable Sector Check)
- Preference may be given to applicants of Aboriginal ancestry, per Section 41 of the BC Human Rights Code.
Work Conditions
- Nawican Bergeron Youth and Cultural Centre, Dawson Creek, BC
- Hours: Monday–Friday, 9:00 a.m. to 5:00 p.m. (37.5 hours per week)
- Occasional travel and flexible hours may be required.
