We are seeking Site Administrators / Project Coordinators to join our project team. The ideal candidates will be responsible for bridging the communication gap between the site office, head office, and construction trades. This role is essential for ensuring project documentation, site reporting, and daily administrative operations are executed with precision.
Responsibility:
- Meeting & Communication Management: Coordinate site meetings, confirm attendance, and prepare all necessary documentation for distribution. Attend meetings to record detailed minutes and ensure timely distribution upon approval.
- Technical Document Control: Process and prepare submittals for incoming/outgoing documents and shop drawings. Ensure all architectural and structural specifications are correctly filed and accessible.
- Site Operations Support: Assist the Site Superintendent with daily reports, site logs, and photo documentation. Record inspections and accident reports accurately.
- Filing & Identification: Maintain a rigorous filing system for correspondence, invoices, and receipts. Assign identification codes and index materials to ensure organized retrieval.
- Procurement & Logistics: Complete purchase orders (POs) accurately with site staff assistance. Coordinate and pick up materials from suppliers as required to maintain project timelines.
- Site Inspections: Perform periodic audits of files and site materials to ensure correct placement, legibility, and proper condition.
- Assist with other site-related tasks as required by the supervisor.
Qualification:
- Educational Background: Degree or Diploma in Architecture, Structural Engineering, Construction Management, or a related field.
- Drawing Literacy: Strong ability to read and interpret Architectural and Structural drawings and specifications.
- Software Proficiency: Familiarity with AutoCAD, Revit, and MS Project. Proficient in Microsoft Office (Excel, Word, Outlook).
- Adaptability: Ability to prioritize tasks and meet tight deadlines in a fast-paced construction environment.
- Language: English and Mandarin (Required for internal and external coordination).
- Licence: Valid Driving Licence.
