WHAT THE ROLE IS ALL ABOUT!
Join our administration team in a role that blends organization, service, and variety. This position is ideal for someone with a strong administrative mindset who enjoys supporting people, coordinating details, and contributing to a well‑run office environment. From greeting visitors to assisting with travel, events, and office operations, you’ll play an important role in the day‑to‑day success of our organization. This is an in‑office role based in Winnipeg, Monday to Friday, 8:00 a.m. to 4:30 p.m.
ESSENTIAL CONTRIBUTIONS WE NEED FROM YOU!
- Customer Service: Provide friendly, professional service to all guests and employees, ensuring a welcoming office experience.
- Reception & Phone Support: Answer, screen, and appropriately route phone calls and serve as a first point of contact for office inquiries.
- Travel Coordination: Assist with booking travel arrangements for employees, including flights, accommodations, and itineraries, in line with company guidelines
- Office Operations: Support day-to-day office operations by coordinating supplies, monitoring inventory, and maintaining organized, functional common areas
- Facilities Coordination: Submit, track, and follow up on facility service requests (e.g., repairs, maintenance issues, seasonal upkeep) and liaise with building management and vendors as needed
- Event Planning: Assist with the planning, coordination, and on-site execution of internal events, meetings, and employee engagement activities.
- Mail Handling: Manage incoming and outgoing mail, packages and courier services efficiently.
- Administrative Support: Perform accurate data entry, assist with expense reporting, and complete routine administrative tasks.
- Team Collaboration: Work cross-functionally to support departments and contribute to smooth office operations.
WHAT WILL MAKE YOU A POSITIVE IMPACT?
- Experienced Administrator: 2+ years of experience in a high-volume administrative or office support role.
- Travel Coordination: Experience assisting with business travel bookings is considered a strong asset.
- Confidentiality & Discretion: Proven ability to handle sensitive and confidential information.
- Customer Service Excellence: Strong commitment to providing a positive and professional service experience.
- Microsoft Office Proficiency: Strong working knowledge of Word, Excel, Outlook, and calendar management.
- Highly Organized: Excellent organizational and time‑management skills with the ability to manage multiple priorities
- Facilities & Vendor Coordination: Comfortable liaising with vendors, building management, and service providers to coordinate office needs.
- Event Support & Logistics: Experience assisting with meeting and event logistics, including setup and coordination.
- Clear Communicator: Strong verbal and written communication skills.
- Detail‑Oriented & Accurate: High level of attention to detail in administrative and data‑related tasks.
- Proactive & Adaptable: Takes initiative, anticipates needs, and responds well to changing priorities.
- Collaborative Team Player: Builds positive working relationships across teams and with external contacts.
- Deadline‑Driven: Able to work under pressure and meet deadlines in a fast‑paced environment.
