Job Description:
The Finance and Operations Assistant is responsible for performing clerical duties and basic bookkeeping tasks to support financial operations under the supervision of financial executives. As well as the Finance and Administrative Assistant (FAA) will provide core administrative services, directions and coordination for the Acting Director of Finance and Associate Director of Finance, as well as the Operations Team. This multi-faceted role will ensure the smooth and efficient daily operations of CEE both in the office and virtually in collaboration with key internal and external stakeholders. The FAA has the foresight to identify and address gaps, troubleshooting minor issues while providing ongoing administrative supports, generate financial reports, update account information on the database and assist with accounts payables An important contributing member of CEE’s Operations Department, the FAA will keep everyday functions on track; the role will require fast thinking, problem-solving, establishing processes, positive energy, and a commitment to getting the job done well and on time.
Key Responsibilities:
Accounts Payable
- Process expense claims, staff reimbursements and vendor payments
- Monitor CEEs invoice to process email account and process all invoices received in a timely manner.
- Add new employees and new vendors to CEE's financial system for monthly payroll and vendor payment remittances.
- Monitor credit card purchase requests and perform program purchases as approved and directed by the Director of Operations & Associate Director of Finance.
Order Processing
- Processing work orders, supplier invoices, purchase orders, expense claims, account payments, and payroll.
- Coordinating daily financial tasks with the financial management team to optimize workflow.
Financial Budgeting and Reporting
- Assist in the preparation of the annual budget for the 2023-2024 fiscal year.
- Assist the Finance Department with credit control processes, budget planning, and expense analysis.
- Assist the Operations Department with budgeting and forecasting of allocated expenses.
Administrative & Operations
- Manage Director Operations & Associate Director of Finance’s schedule to maximize time and ensure alignment with organizational priorities.
- Scheduling important stakeholder meetings and performing research on potential partners/donors/funders prior to meetings. Communicate meeting timing and requirements with internal and external stakeholders and prepare background material for meetings, as required.
- Manage Director Operations & Associate Director of Finance’s inbox to ensure that all emails are recorded correctly.
- Support the Director of Operations & Associate Director of Finance in replying to emails in a timely manner, coordinate with other teams on content.
- Identify emails that other teams need to be aware of and coordinate relevant follow-up action.
- Preparing and taking meeting minutes for internal and external meetings as required.
- Providing ongoing support in executing important projects/events/initiatives.
- Creating, organizing, updating and maintaining Operations Department SharePoint and Teams folders where all Operations Department and org-wide reports and documents are stored.
Other
- Other duties and tasks assigned by the Senior Leadership & Management Team in response to a rapidly changing environment.
Qualifications:
Skills and Experience
- A thorough understanding of challenges, needs and realities of Black youth in Toronto’s priority neighbourhoods.
- Knowledge of the impact of trauma, anti-Black racism, and social determinants of health and how they manifest in Black youth.
- First or second-year students, self-identified students from BIPOC (Black, Indigenous, & People of Color) communities strongly preferred.
- Excellent administrative, documentation, and planning skills with the ability to organize, deliver, track and report on competing priorities simultaneously.
- Professional, clear, and respectful communication skills (oral, listening and written)
- Resourcefulness, initiative, and flexibility to function effectively as part of a growing team.
- Capacity to handle expectations from multiple internal and external stakeholders while managing competing priorities simultaneously.
- Commitment to the values and mission of CEE
- Office administration or Assistant experience in a professional setting is considered a strong asset.
- Financial considered a strong asset.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
- Experience in Microsoft Teams, QuickBooks, Salesforce and Asana, or other project management software is considered a strong asset.
