Job Summary:
The Office Administrator plays a critical role in ensuring the smooth and efficient operation of our medical office. The ideal candidate will be responsible for a variety of administrative tasks, including filing, invoicing, customer service, and managing a very busy phone system. This position requires a professional with strong multitasking abilities, excellent communication skills, and a commitment to providing outstanding support to both patients and staff.
Key Responsibilities:
- Filing and Record Management: Maintain accurate and organized patient records and office files. Ensure all documents are properly filed and accessible as needed.
- Invoicing: Prepare and send invoices to patients and insurance companies. Track payments and follow up on outstanding balances.
- Customer Service: Serve as the first point of contact for patients and visitors. Provide exceptional customer service, addressing inquiries and resolving issues in a friendly and professional manner.
- Phone System Management: Answer and manage a high volume of incoming calls using a multi-line phone system
- Appointment Scheduling: Assist with scheduling patient appointments and managing the office calendar to optimize efficiency and patient flow.
- Administrative Support: Assist with various office tasks, including data entry, ordering office supplies, and maintaining a clean and organized work environment.
- Team Collaboration: Work closely with medical staff and other administrative team members to ensure a seamless operation and high-quality patient care.
Qualifications:
- Previous experience in a medical office or similar environment is highly desirable.
- Strong organizational and time-management skills.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to handle a high volume of calls and multitask effectively in a fast-paced environment.
- Strong attention to detail and accuracy.
